Job Description
TITLE: Guidance Secretary - Coffman HS (23-24 School Yr)
JOB STATUS: FLSA Overtime Eligible
REPORTS TO: Building Administrator
DEPARTMENT: Academics and Student Learning
PAY RANGE: Four (4)

POSITION SUMMARY: To assure the smooth and efficient operation of the school office so that the office’s maximum positive impace on the education of children can be realized.
JOB QUALIFICATIONS:
  • A high school diploma or training and experience that are considered equivalent.
  • Such alternatives to the above qualifications as the Board of Education may find appropriate and acceptable.
  • A good knowledge of word processing, typing, filing, and operation of common office equipment.
  • An ability to handle confidential matters, set priorities, work well under pressure, with an attention to detail.
  • The ability to greet and deal with public, students and school staff courteously and appropriately, both by phone and in person.
  • A knowledge of good telephone communications.

ESSENTIAL DUTIES:
  • Understands the legal responsibility to help instill in students the belief in, and practice of, ethical principles and democratic values.
  • Serves as data entry person on all functions related to scheduling and grades.
  • Other duties as assigned by the Superintendent or his/her designee.
  • Ensures the safety of students.
  • Types a variety of material, such as letters, student records, reports, memos, etc., from rough drafts or corrected copy.
  • Serves as a role model for students in how to conduct themselves as citizens and as responsible, and intelligent human beings.
  • Remains free of any alcohol or nonprescription controlled substance and abuse of any prescribed controlled substance in the workplace throughout employment in the district.
  • Sends for and follows up on all requests for new student information/records. Prepares and sends records to other schools for students who have withdrawn.
  • Maintains confidentiality and respect for confidential information at all times.
  • Maintains complete and accurate/up to date credit and grade data on permanent folders and in the computer system database. Includes: a) putting end of year grade stickers on folders and making corrections as needed; b) recording transfer grades and credits; c) filing in permanent folders as needed.
  • Processes student withdrawal procedures. Hands out forms to students, collects forms at end of day, copies and sends forms with the withdrawing student.
  • Notifies new student’s teachers of grades in comparable subjects from student’s previous school.
  • Performs the usual office routines and practices associated with a busy yet productive and smoothly run office.
  • Maintains such student and financial records as shall be assigned.
  • Prepares cumulative folder and health folder for all new students, and inputs the students’ information into the computer.
  • Establishes and maintains cooperative professional relationships.
  • Exhibits professional behavior, emotional stability, and sound judgment.

TERMS OF EMPLOYMENT: 211 Days (183 days; 8 paid holidays); 8 hours per day excluding lunch. Salary as provided by the Negotiated Agreement. Work year to be established by the Board.
SALARY: $20.25/HR. - $22.39/HR.
