International hotelier Conrad N. Hilton established the grantmaking foundation that bears his name in 1944 to help people living in poverty and experiencing disadvantage worldwide. Today, the work continues, concentrating on efforts to ensure healthy early childhood development and sustainable livelihoods for youth, support young people transitioning out of foster care, improve access to housing and support services for people experiencing homelessness, identify solutions to safe water access, and lift the work of Catholic sisters. Job Summary

The Grants Associate provides grants management services, including supporting discretionary and matching grants programs, and serving as a grants management liaison to assigned grantmaking teams. The Grants Associate plays a key role in the Foundation's efforts to ensure that all grants meet the proper legal, audit, and internal requirements, and prepares a large number of grants and payments for the administrative approval process conducted by the Grants Manager. Under the oversight of department leadership, the Grants Associate ensures adherence to grants management process and practices by the Foundation's grantmaking teams, and looks for areas of improvement.


Partnership is a key tenet of the Grants Management team, therefore, the Grants Associate should be adept at interacting with a range of diverse stakeholders in a professional, collaborative and diplomatic way. The successful candidate will also have a demonstrated commitment to diversity, equity, and inclusion.


The Grants Associate is an integral member of the Grants Management team and the Foundation, and reports to the Grants Manager.


Responsibilities

Support Specialized Grantmaking Programs


  • Initiates a due diligence process, including conflict of interest review and tax status verification.
  • Creates new grant records and conducts data entry in the grants management database with a focus on accuracy.
  • Schedules requirements and payments, in preparation for administrative approval of grant records by Grants Manager.
  • Drafts correspondence with grantees.
  • Completes grant close-out process.


Grant Data and Lifecycle Management


  • Flags grants management-related concerns (such as tax status, lobbying, or tipping) for the Grants Manager and/or grantmaking leadership.
  • Supports Grants Manager to modify and close out grants.
  • Interacts regularly with assigned teams to begin to anticipate needs or upcoming grantmaking activities that may require additional grants management learning or support.
  • Serves as a grants management resource to assigned grantmaking teams.
  • Bolsters the use of the workflow module in the grants database.
  • Supports all stages of the grantmaking process by completing tasks that may include verifying tax status, drafting grant agreements and generating payment correspondence.


Technology and Data Management


  • Manages calendar and process for grant data reporting.
  • Provides technical assistance on the use of the grants management database.
  • Assists with grants database clean-up and maintenance.
  • Oversees the Grants Management Outlook account.


Qualifications


Required:


  • Excellent written and oral communication, organizational and interpersonal skills.
  • High attention to detail and strong analytical skills.
  • Able to work independently and as a part of a team, plan and prioritize workflow to meet deadlines, take initiative, and be solution oriented.
  • Experience with grants management databases or a relational database.
  • Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word.
  • High School diploma and 4 years of relevant work experience, or Associates degree and a minimum of 2 years of relevant experience.


Desired

  • Bachelor’s degree preferred.
  • Interest in the Foundation’s mission and the operational side of grantmaking and philanthropy.
  • Experience in philanthropy, grants management, and/or nonprofits a plus.


**The hiring base salary range for this position is 64k-80k. The final base salary will be determined based on individual qualifications and experience.
