Job Description
Position Overview:
The Global Business and Group Travel Advisor is a functional and technical subject matter expert in business and group travel programs, including travel-related systems, processes, and reporting tools. This role advises and manages strategic sourcing and processes for business travel within the Company. The Global Business and Group Travel Advisor identifies and resolves system errors, conducts detail reporting and analysis for travel and meetings. This role serves as the primary contact for external travel partners. This role researches, recommends, and implements processes within the broad travel program according to best practices. The Global Business and Group Travel Advisor demonstrates good judgment and strategy in selecting methods and techniques for sourcing, analysis, reporting, problem solving, and improving processes and systems. The Global Business and Group Travel Advisor will collaborate extensively with stakeholders across the organization.
Essential Duties:
include but are not limited to the following:
  • Plan ahead for the future by evaluating how current processes and procedures can scale effectively. Aware of how decisions impact other functions.
  • Develop and administer relevant system, policy, and/or process training programs across multiple functions within the organization, including executive-level leaders.
  • Identify issues requiring resolution, review and interpret authoritative guidance and offer proposed solutions. Implement solution(s) to mitigate future occurrences.
  • Document company travel processes, policies, and procedures, responsible for continued maintenance of documentation.
  • Subject matter expert of functional processes and systems. Stays current with company and team initiatives and enhancements.
  • Demonstrate ability to gauge audiences and determine when clarification is required. Understand and anticipate audience needs and questions.
  • Support and comply with the company’s Quality Management System policies and procedures.
  • Coordinate contracting and payment processes; follow all Company policies and regulations.
  • Assist and mentor team members.
  • Conduct detailed cost analysis for business and meeting travel to manage budgets, collaborating with internal stakeholders and providing recommendations.
  • Lead the execution of complex integration projects as a trusted subject matter expert.
  • Manage relationships and negotiate contracts with travel vendors, factoring in the full scope of travel spend across the organization.
  • Create and execute a proactive, strategic travel and meeting sourcing process to increase cost savings opportunities.
  • Contribute to positive team morale and support employee engagement initiatives.
  • Regular and reliable attendance.
  • Ability to evaluate routine and high priority tasks to delegate to team members, as needed.
  • Ability to work nights and/or weekends.
  • Ability to work designated schedule.
  • Ability to travel up to 25%.

  • Complete complex travel reconciliation and reporting across different sources and identify reconciliation errors.
  • Ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 90% of a typical working day.
  • Guide workflow design, configure and test system changes, and analyze technical issues.
  • Ability to communicate clear and concise messages to internal and external audiences.
  • Collaborate with stakeholders on effectiveness and strategy of global travel program and redesign as needed.
  • Ability to make decisions independently considering multiple data points and sources of information.
  • Ability and means to travel between Madison locations.
  • Identify technology improvements and enhancements to solve problems. Research and recommend new technologies, processes, and system changes to improve efficiencies. Lead or oversee RFPs and implementation of new technologies, process, and systems enhancements as necessary.
  • Consult and recommend on system design and processes for data management.
Minimum Qualifications:
  • Demonstrated ability to perform the Essential Duties of the position with or without accommodation.
  • 8+ years of experience working in a business travel-focused role, with involvement in sourcing, advancing in duties and responsibilities.
  • Authorization to work in the United States without sponsorship.
  • Associate degree in business, hospitality, procurement, finance, marketing or related field; or high school degree/general education diploma and 4 years of relevant experience in lieu of degree.
Preferred Qualifications:
  • 2+ years of experience working with SAP Concur application.
  • 2+ years of experience as a travel agent.
  • 2+ years of experience managing a travel program at a medical, healthcare, pharmaceutical or similar Company.
  • Certified meeting professional (CMP) certification.
  • 4+ years of experience in technical, reporting, and analytical responsibilities.

Salary Range:
$82,000.00 - $130,000.00
The annual base salary shown is a national range for this position on a full-time basis and may differ by hiring location. In addition, this position is bonus eligible, and is eligible to receive company stock upon hire as well as annually. Benefits offered include a retirement savings plan, paid vacation, holiday and personal days, paid caregiver/parental leave, and health benefits to include medical, prescription drug, dental and vision coverage in accordance with the terms, conditions, and eligibility requirements of the applicable plans.
