Position Overview:
The Receptionist is responsible for providing general office support with a variety of administrative activities and related tasks. The receptionist will be responsible for greeting visitors, answering incoming calls, directing calls to the appropriate employees as well as additional administrative duties.
Key Responsibilities:
- Initiate calls to the courier and maintain file on courier forms
- Is discreet as required, providing outside customers with information that is appropriate and that has been cleared for distribution
- Provides phone call customers with basic information on Corporate Environments: hours of operation, location, directions for getting to the dealership, lines of furniture sold, etc.
- Other duties as assigned
- Greets visitors and announces their arrival to the employee they have come to visit.
- Operates the phone system with skill and efficiency, routes calls correctly, announces waiting for calls to staff as appropriate, tracks down employees for emergency or critical calls, etc.
- Order and distribute office supplies
- Keeps the reception area, desk, etc., clean and organized and visibly attractive to customers
- Update the employee contact list
- Provide support to the HR Department, including, but not limited to, filing and data entry.
- Answers the phone, routes the call to the appropriate party/employee or to the employee's phone message mailbox, and takes and distributes written messages as necessary.
- Receives and routes mail to appropriate internal departments and personnel
Knowledge, Skills, and Abilities:
- Strong professional initiative and ability to manage multiple projects and the required follow-up
- Ability to work in fast pace environment
- Minimum of 2 years experience in an office environment
- Proficiency with Microsoft Office (Outlook, Word, and Excel)
- High School Graduate or equivalent required
- Must have excellent verbal communication and written skills
