About the Department

The College of Design, Architecture, Art, and Planning(DAAP) at the University of Cincinnati invites applications for a full-time (100% FTE) Executive Staff Assistant in the School of Architecture and Interior Design and assist temporarily in the School of Planning.

Job Overview

This position will provide academic, program, and administrative support to the faculty and students in the School of Architecture and Interior Design and assist in supporting the School of Planning on a temporary basis. The person in this position will need to learn new tasks quickly, manage their time efficiently, respect issues of confidentiality, and pay attention to details. The position requires strong computer skills (Microsoft Word, Excel, and Outlook); excellent verbal and written communication skills (including social media communication); the ability to work effectively and independently; the ability to multi-task and handle work distractions; and the ability to be successful as part of a team.

Essential Functions

  • Perform research concerning procedures and practices, identifying problems and recommending solutions.
  • Coordinate and evaluate procedures.
  • Maintain social media accounts, school web pages, and directory.
  • Welcome visitors; manage the office; serve as the primary contact for the School. Respond to program related inquiries (written, in-person, by telephone, by email) from faculty, students, staff, and the general public.
  • Provide administrative support to the school director and academic coordinators. Assist with hiring of student workers, graduate assistants, and adjuncts.
  • Assist in overall communication including routine communication to faculty, administrators, and students.
  • Review and monitor expenditures on supplies, equipment, etc.
  • Schedule rooms, meetings, appointments, prepare agendas, and other documents for distribution at meetings and events, and record meeting minutes.
  • Serve as liaison for administrator in the interpretation of policies and procedures. Represent administrator on committees and attend meetings on behalf of administrator. May coordinate personnel transactions.
  • Receive and reconcile expense statements.
  • Gather and evaluate information and assist in determining priorities.
  • Coordinate the use of facilities and equipment.
  • Train and manage school office student workers. Coordinate various special events, programs, and visitors. Perform other related duties based on departmental need.

Minimum Requirements

  • Bachelor's degree with one (1) year experience; -OR- Associate's degree with three (3) years’ experience; -OR- five (5) years’ experience.
  • Experience must be in high-level administrative support.
