Senior Executive Assistant to the President/CEO

Washington, DC (Hybrid, 2 days in office/ 3 days remote)

ABOUT THE ORGANIZATION AND THE OPPORTUNITY

We are seeking a Senior Executive Assistant to support the President/CEO. The Senior Executive Assistant serves in a supportive role to the President/CEO on all administrative matters, including scheduling, travel, meetings and events and expense reports. The Senior Executive Assistant plays a key role in ensuring that the President and CEO’s office functions smoothly and efficiently and is well-positioned to deliver on the organization’s mission of advancing educational equity. Successful candidates have experience supporting chiefs/executives and thrive on being a “step ahead” and a stickler for details.

Available immediately, this Senior Executive Assistant role is based in our Washington, DC office and is eligible to telework up to 3 days per week. The Senior Executive Assistant to the President and CEO reports to the Chief of Staff and must be available in the evenings via phone and/or email to address last-minute scheduling matters that may arise.

ABOUT THE SENIOR EXECUTIVE ASSISTANT TO THE PRESIDENT/CEO ROLE

Major responsibilities of the Senior Executive Assistant include, but are not limited to, the following:

  • Draft and send correspondence on behalf of the President/CEO proactively and as requested
  • Process and submit vendor contracts and agreements, invoices, check requests, and expense reports
  • Train, coach, and mentor colleagues with similar responsibilities to grow and develop their administrative skills, as needed
  • Anticipate needs of the President/CEO, and potential complications, to proactively prevent issues from arising
  • Initiate and execute process improvements to increase efficiencies related to requests that go to the President/CEO
  • Schedule and manage an active calendar of appointments for the CEO proactively, prioritizing incoming requests in alignment with the primary objectives of the organization and the CEO, coordinating daily agendas and briefing packets, and updating the calendar to include pertinent information
  • Receive and distribute incoming communications to appropriate staff and facilitate responses or actions to be carried out by the President/CEO based on understanding their role and priorities
  • Arrange and coordinate travel and speaking engagements (including itineraries, logistical details, transportation and lodging), and collaborate with other departments to leverage the President/CEO’s time for other key in-person meetings while travelling
  • Coordinate and communicate on behalf of the President/CEO for organization wide initiatives, board logistics, and other such matters, with response times between 1-2 business days
  • Schedule, coordinate logistics, and assemble and disseminate materials for events, conferences and meetings in close collaboration with the Chief of Staff, President/CEO, and project leads

REQUIRED QUALIFICATIONS AND EXPERIENCE

The ideal candidate will possess the following qualifications and experience:

  • Must have prior Non-profit experience
  • Significant experience as an Executive Assistant or equivalent role providing administrative support to a C-Suite leader in a larger office environment (e.g., 50+ employees)
  • At least a high school diploma or GED
  • Proficiency with Microsoft Outlook and Office Suite, including basic Word, PowerPoint, and Excel skills; experience using Microsoft or Google Forms a plus
  • Demonstrated ability to improve processes and efficiencies in the workplace, particularly through the use of technology

COMPENSATION

The salary range for this level position in our DC office is commensurate with skills and experience.
