Job Description
Job Responsibilities


Reporting to the Director of University Events, the Events Manager provides onsite supervision to ensure the successful execution of internal and external events, including weddings, galas, conferences, performing arts, concerts, workshops, seminars and other events, and supervises the work of student interns and employees.


  • Executes contracts.
  • Conducts site tours for prospective clients.
  • Supervises all student interns and employees.
  • Provides onsite supervision for internal and external events, including weddings, galas, conferences, performing arts, concerts, workshops, seminars and other events.
  • Communicates with clients regarding relevant local, university, state and federal regulations and policies to ensure compliance.
  • Works with clients to ensure they submit proper insurance, IRS documentation, and other necessary paperwork by established deadlines.
  • Assists with scheduling, planning and executing events for the President’s Office and Board of Trustees: Coordinates meeting space, audio visual equipment, and reservations for food service and lodging and provides technical and professional assistance in the creation and production of marketing/promotional materials.
  • Works with the Director to monitor the budget and ensure the department meets its annual goals.
  • Stays current on the status of upcoming events.
  • Helps prepare estimates and invoices.
  • Assists with maintaining accounting ledgers; preparing paperwork for expenditures, transfer of funds, post-event billing and refunds; and preparing budget and business income tax reports.
  • Assists with proposals, client presentations and facility evaluations.


Minimum And Additional Requirements


Bachelor’s degree; two years of experience working with external clients to coordinate weddings, large conferences and other special events; and valid driver’s license.


Knowledge of best practices related to conference and event planning. Effective communication, interpersonal and organizational skills. Ability to interpret and apply regulations, policies and procedures and exercise sound judgment and discretion; organize and coordinate a variety of projects simultaneously; establish and maintain effective working relationships with faculty, staff, clients, vendors and community/hospitality organizations; and work independently with attention to detail. Sufficient technical ability to master software required to perform job duties. Ability to work flexible hours, including nights and weekends.


Preferred Qualifications


Experience at an institution of higher education and experience managing student interns and employees. Proficiency with Microsoft Office.
