ABOUT THE ROLE:
- Hybrid
- Short-Term Contract (<6 Months)

A local client of ours is looking for an Event Administrator to provide seasonal support to their events team over the next 3months. This person will be responsible for the execution of data entry, invoice management, logistics support, and market intelligence research and tracking. The ideal candidate is detail-oriented and is very adept at prioritizing multiple tasks simultaneously.

- Thousands of members in more than 100 countries, consisting of librarians, technologists, researchers, pioneers, leaders, and learners
DAILY RESPONSIBILITIES:
- Track down missing or late invoices
- Enter lead forms into Salesforce
- Respond to questions, emails, and serve as the point person when conference staff is off-site at Tier 1 conferences
- Respond to internal and external requests for swag and gives
- Own and update multipleexternal and internal calendars
- Check for event date, time, and location updates on event websites, continuously watching for CFP updates; update Airtable and notify appropriate team lead; confirm budget has been updated post-event; confirm metrics have been added to AT post-event; additional tasks as new processes aredeveloped
- Via event websites, gather event metrics, specifically focusing on what our competitors are doing at each conference we attend and those that we “track for awareness”
- Add all MRD conference presentations to the events airtable
- Manageand updateevents in Airtable
- Assist with procurement research (vendors)
- Track, gather, and send calls for proposals
- Own the tax-exempt form request process, check each conference location for tax-exempt status, collect forms, and share with the conference lead
- Take the lead on a Tier 3 conference each quarter to learn the full process from start to finish and/or manage housing for Tier 2 conference(s)
- Digitalize old paper files
REQUIRED SKILLS:
- Competent computer skills and the ability to learn new systems and processes
- 2+ years of experience as an executive assistant or in administration, event planning, or similar field
- Proficient in Excel
- Proven ability to stay organized, prioritize workload, and execute tasks with great attention to detail
- Excellent communication, organization, and time management skills
BONUS SKILLS:
- Experience using Airtable
