Job Description
The Administrative Assistant is primarily responsible for providing administrative support to, and being the central point of contact for, the Information Technology department. This position requires an individual who is comfortable with technology, extremely well organized, and a strong communicator.
Key Responsibilities
  • Calendar management.
  • Restock parts.
  • Fields internal and external calls and requests, including closing tickets.
  • Draft and proof-read documents
  • Manage contracts, invoicing, and payments and collaborate with finance to ensure they are paid accurately and on time.
  • Manage hardware and software inventory by using appropriate tools to:
  • Determine upgrade needs.
  • Record all equipment assigned to staff members.
  • Use IT systems to provide support to team – login to systems to verify information, close tickets, etc.
  • Refresh list of equipment for subsequent year.
  • Work with vendors to initiate technical support requests.
  • Arrange and prepare equipment for shipping, receiving and distribution accurately and promptly.
  • Document customer repairs.
  • Order processing (mostly hardware equipment).
  • Oversee equipment lifecycle and monitor warranties.
  • Develops/improves administrative processes for tasks to streamline work and create efficiencies (e.g. create a mechanism to ensure licenses and leases are current)
Other
  • Project coordination support with special projects
  • Other duties as assigned by members of IT.
  • Escalate issues to management.

  • Work effectively and with great attention to detail while managing multiple tasks.
  • Familiarity with IT terms and assets.
  • Manage time efficiently and effectively.
  • Work well both independently and as a member of a team.
  • Knowledge and proficiency with Microsoft Office 365.
  • Excellent oral and written communication skills.
  • Maintain professional demeanor under stress and operate within customer support standard and operating procedures.
