Job Description

Job Summary
The overall purpose of this position is to increase the value of IEEE's impact on STEM education at the pre-university level across the globe and as a result impact and inspire as many students as possible. This position supports the implementation, delivery and reporting of pre-university STEM educational resources for IEEE. These programs and resources target pre-university educators, students and parents as well as IEEE volunteers engaged in STEM outreach. The position also supports the work and activities of the Senior STEM Outreach Education Manager.
The position is primarily responsible for the day-to-day execution of assigned tasks, promotional efforts (working with Educational Activities Marketing), collecting, assessing and reporting program metrics, ordering materials and supplies, maintaining records related to purchases and budgets, and recommending program improvements. The position provides support to IEEE's Pre-University Education Coordinating Committee (PECC) and the Senior STEM Outreach Education Manager, with a focus on administrative tasks, data collection, documentation and marketing activities in order for the committee to achieve their stated annual goals for pre-university STEM education and outreach. The role also manages a number of relationships with external vendors and outside organizations.
This person also will provide complete and accurate information to internal stakeholders and external customers in a timely and efficient manner. This person must be able to work independently and as part of a team in a deadline-oriented environment and be able to suggest administrative changes in program procedures/processes to improve operational efficiency.
The position reports to the Director, Student and Academic Education Programs and manages no direct reports. This position works under normal guidelines on overall business strategies and objectives and is a part of the Educational Activities team within IEEE.
Key Responsibilities
  • Processes payments, interoffice transfers and expense reports
  • Assists with event logistics, planning and execution
  • Maintains contact information for users of various systems
  • Creates invoices
  • Coordinates social media channels following a predetermined schedule.
  • Generates reports from systems (Google Analytics, ON24 webinars, etc.)
  • Packing and shipping conference materials/event specific material
  • Tracks all expenses
  • Writes content for website and newsletters
  • Supports and participates in the implementation of the Educational Activities Department’s mission, goals and objectives;
  • Writes blog posts, articles, and social media posts in support of pre-university activities;
  • Manages content for pre-university education program webpages;
  • Manages financial processing (POs, invoices, funding and expense reimbursements) according to established accounting policies and procedures;
  • Establishes strong relationships and communicates effectively with key volunteers and stakeholders at all levels of the organization;
  • Performs basic account auditing
  • SUPPORT OF PRE-UNIVERSITY PROGRAMS:
  • Performs other duties as assigned.
  • Other responsibilities may be assigned as required
  • Works with Sr. STEM Manager, Director of Student and Academic Programs, and IEEE stakeholders to ensure new programs are integrated effectively into the IEEE
  • Supports the implementation of the TryEngineering Summer Institute by assisting with ordering and packing necessary materials for activities
  • Updates WordPress website; Work may include: Reviewing and editing existing content on website pages, creating new pager, updating links
  • ADMINISTRATIVE AND BASIC FINANCIAL TRACKING AND PROCESSING:
  • Manages vendors/consultants to support pre-university education programs/projects;
  • Collaborates with other members of the Educational Activities Marketing staff to provide content for marketing purposes;
  • Processes orders, tracks inventory and orders items for summer programs
  • Coordinates mass mailings with marketing team
  • WEBSITE AND SOCIAL MEDIA CONTENT:
  • Key Responsibilities
  • Replies to any comments left on social media channels
  • Maintains all electronic files for the program
  • Updates and maintains key performance indicators, metrics and dashboards that can be used to measure the effectiveness and satisfaction with assigned pre-university programs/projects;
  • Proofreads materials to be published
  • Supports the budget of the pre-university activities by processing invoices and payments, and tracking expenses.
