Job Description
Reporting to the Associate Director of Donor Strategy, the Development Coordinator plays a critical role in the support and project management of a variety of advancement functions in service of NEAq's fundraising mission. This position includes a range of tasks including providing administrative support to the Vice President, prospect research, development writing, support of selected events, and other responsibilities to enable the organization's growing fundraising program to thrive. Requiring flexibility and adaptability, the position will communicate and collaborate across teams within the Development department, meet internal and external deadlines, and support other fundraising functions, as needed.


This is a full-time regular position offering a comprehensive benefits package. The schedule will be Monday-Friday 9:00 am - 5:00 pm with the option for a hybrid schedule, working 2 - 3 days on-site and 2 - 3 days remotely. Remote days are only available for residents of MA, RI, NH, ME, NY and VT.


Essential Functions


  • Provide event support as requested. Typical duties might include preparing invitation text, pulling data for invitation lists, working with vendors, checking in guests, providing on-site event support, reconciling expenses and budgets, and sending thank you letters or emails.
  • Provide occasional backup to support other Development Department goals.
  • Provide administrative support to the Vice President including: scheduling internal meetings, capturing meeting notes as assigned, scheduling appointments or phone calls with donors and prospects, trip planning, preparing and submitting expense reports, and other duties as requested.
  • Conduct prospect research as assigned by his/her supervisor using tools provided. Such assignments will focus on individual or corporate prospects. Write results in requested format and record results in CRM.
  • Maintain the accuracy and consistency of confidential donor records in Raiser's Edge, as well as other electronic and paper files. Follow quality control efforts and processes to ensure accurate prospect and proposal tracking.
  • Identify and propose administrative efficiencies to most fully support the Vice President.
  • Prepare confidential deliverables, including but not limited to meeting briefings and meeting minutes to be presented to the board.
  • Project manage activities, projects, events, or other initiatives as assigned to create clear timelines, responsibilities, and accountability.
  • Write fundraising materials as assigned adopting NEAq's voice, style, and current materials. These may include thank you letters, templates, and other stewardship materials such as updates and reports.
  • Attend regular team meetings for Development Department and ensure follow-up actions are completed promptly.


Qualifications


Minimum Training and Experience


  • Professional experience writing and presenting information in a variety of formats and tailored to different audiences required.
  • Professional experience with data management required.
  • Requires two to three years of professional experience with administrative and customer service responsibilities.


Knowledge, Skills, And Abilities


  • Exhibit keen attention to detail and accuracy in both the recording and outputting of confidential or highly sensitive donor information.
  • Experience with CRM systems, such as Raiser's Edge, DonorPerfect, or SalesForce.
  • Proficiency with MS Outlook, Word, Excel, and PowerPoint.
  • Must be available for occasional evening and weekend events.
  • Commitment to excellence and accuracy with demonstrated skills in keeping multiple priorities on track and meeting deadlines. Specific project management experience preferred.
  • Excellent interpersonal communication abilities.
  • Strong customer service, interpersonal, and organizational skills.
