Job Description
The Corporate Facilities Manager assists the Director of Global Facilities to establish standards and strategies for facilities across the enterprise in support of corporate and local operations, inclusive of all owned and leased properties to include lease administration for all lessor and lessee relationships. The Corporate Facilities Manager shall assist the Director of Global Facilities in tracking all facilities expenses, including operating, construction, leasing, furniture and fixture expenses across the company. The Corporate Facilities Manager will lead the project management of all projects with the facilities department; Globally.
Corporate Facilities Administration
  • Assist the DGF with annual budget preparation, general expense monitoring and monthly reporting
  • Plan, organize, and direct events and activities related to maintenace and operations functions (including at the executive management level) to ensure a safe, clean and comfortable working environment for all staff, agents, customers and guests
  • Ensure that all preventative maintenance tasks are completed to company standards as well as local building code requirements and standards
  • Ability to manage several projects at one time with accelerated schedules
  • Manage all lease arrangements (domestic and international) ensuring all leases are in compliance with company standards, all commitment dates are met and whether or not the lessor or lessee we are adhering to all requirements of the lease; inclusive of but not limited to leashold improvements, daily services, annual op ex reconciliations, rental adjustment, etc.
  • Ensure that all premises (domestically and internationally) are maintained and general upkeep of buildings are in line with all Safety, Health and Life Safety Standards of practice and well as company standards.

  • Ensure that all maintenance and repairs are completed and in line with standard building practices
  • Maintain confidential, positive and professional communication with all staff, vendors and maintenance personnel
  • Ensure the facilities department consistently provides positive and prompt response to requests from the internal client, as well as tenants and occupants of leased properties
Life Safety, Emergency Procedures
  • Assist in maintaining emergency evacuation procedures, updating emergency evacuation maps, and planning emergency situation training (evacuation and shelter in place)
  • Ensure that at all times all Life Safety equipment (Domestically and Internationally) is inspected as required by law, all required maintenance and repairs are done promptly, and systems are operating efficiently
  • Provide general support to other shared service departments (IT, Operations, HR, etc) of the company as needed
  • Assist in maintaining all logs associated with physical security including but not limited to keys, card access, CCTV.
Project Management
  • Support Director Global Facilities and the Finance/Accounting Department in segregating project costs; processing payment invoices and application; and tracking construction allocation by contractor, sub-contractor, location and/or region
  • Ensure all project management activities such as meeting minutes, change orders and work verification are done timely and to best standards.
  • Support Director Global Facilities in managing the successful completion and close-out of construction projects to assure occupancy and operational status by required dates

  • Develop and manage project budgets and schedules; complete projects in accordance with company approved budgets and schedules
  • Ensure project schedules are being met. Ensure construction work meets contract standards for compatibility with site systems, safety and environmental compliance. Maintain compliance with all business controls requirements (purchasing, approval, and payments to vendors).
  • Support Director Global Facilities with the tracking of all facilities related preventative maintenance and project activity both domestically and internationally. Ensure projects are well defined, understood and develop effective project plans in compliance with business controls and all applicable codes.
Travel and Weekend
  • There may be the need for the occasional travel internationally, up to 25% travel
  • Occasional weekend work to ensure a project is completed that cannot be completed during standard operating hours
Education & Experience
  • Required: Minimum of 5 years commercial facilities management experience with heavy project management. Associates Degree in Business, Project Management or Real Estate. Familiar with Real Estate Lease Language and Processes; Familiar with Real Estate portfolio management practices; Familiar collaborating and building consensus with diverse teams of subject matter expert
  • Preferred: Minimum of 7-10 years global commercial real estate experience. Bachelors Degree in Business, Project Management, Facilities Management or Real Estate
Skills
  • Familiar with commercial lease language
  • Strong oral and written communication skills with ability to communicate with executive management
  • Familiar with gantt charts
  • Proficient in Microsoft Office (including MS Poject)
  • Ability to read and understand commercial lease documents
  • Proficient project management
  • Strong budgetary, fiscal and expenses management
