Job Description
Basic Function
  • Administrative & limited technical support for the Edison R&D groups.
  • Provides administrative support to the Edison Site R&D Lead & other Edison leaders, as agreed with manager
Major Duties
Technical & administrative support for the Edison R&D groups
  • Preparation (e.g. blinding & labeling) and shipment of samples for claims/consumer testing on behalf of the Edison R&D teams.
  • Other responsibilities may be added or substituted as the business needs evolve, but only after agreement with your manager.
  • Support the Package Testing Lab by logging-in packaging submissions to SharePoint, organizing incoming packaging submissions & delivering application/dispensing and fragrance evaluation samples to the Chemists.
  • Support the Chemists on raw material discontinuations by consolidating feedback for materials used across product categories.
  • Act as a point of contact and provide basic administrative assistance to visiting Revlon employees when needed. For example, instructions on how to book a conference room, how to contact IT, available seating locations.
  • Maintain the Edison Phone Tree for internal emergency communication of site opening/closure, with updates to onsite personnel names and cellphone details done at least quarterly. Determine a suitable location to store it (e.g. Sharepoint) and ensure everyone on site is aware of its location.
  • Help the Chemists by coordinating shelf life extensions by distributing samples to category leaders and submitting to support teams (micro MCT) as needed and consolidating and communicating results.
  • Maintain Revlon Inc product display in glass cabinets on entry to management area, obtaining & adding new products at least every 6 months.
  • Run the program to send NPD product samples on a quarterly basis to senior management, on behalf of the US-based R&D teams. Interface and coordinate with Category Leader below to collect, distribute and track NPD samples to ELT Members. This includes obtaining samples from the groups below or obtaining product names/codes & placing ‘no charge’ orders.
  • Help R&D staff in the management area and generally in the Edison building by providing day to day support organizing logistics/food/refreshments for internal meetings/external visitors/site events, scheduling office moves, following up on non-functioning central photocopiers/printers, ordering office supplies, scheduling new hire onboarding and other activities as agreed with your manager. This does not include personal calendar management (see R&D Leadership section).
  • Under the direction and guidance of Chemists, manage data entry tasks associated with Master Data Governance (MDG).
  • Prepare and track TOA’s for temporary staff, capex spend etc as agreed by your manager.
  • Work with the Merchandiser team to maintain ‘the Revlon and Almay product walls’ in conference room 1074, ordering new products, loading the permanent cabinetry and disposing of deleted product. This may involve simple installations of new permanent cabinetry.
  • Learn how to obtain Safety Data Sheets from the R&D system, to accompany mailed samples.
  • Set up new vendors & create PO’s for items/services not covered by the Facilities Management team on an ad-hoc basis to support the Edison R&D groups, as agreed with your Manager.
  • Support the R&D groups in Edison, with guidance on prioritization from your manager as needed:
  • Ad-hoc ‘no charge’ ordering of Revlon product samples as needed for testing.
R&D Leadership Administrative Support
  • Support the Edison Site R&D Lead (and others as designated) in activities to increase their efficiency including, but not limited to: scheduling complex meetings, scheduling & facilitating external visitors, occasional completing expense reports/travel arrangements/preparing presentation materials. Confidentiality regularly required.
Knowledge And Skills Required
  • Minimum 5 years experience preferred
  • Some overtime may be required.
  • Must be flexible, able to handle multiple priorities and able to take initiative to find solutions.
  • Must be detail-oriented.
  • Must be resourceful to solve problems & able to work well in a team environment.
  • BS or equivalent preferred
  • Proficiency in the following software applications is essential: Outlook, Word, Excel, PowerPoint.
  • Must have strong communication and organizational skills.
  • High energy and motivation are required for this position.
