How we LEAD: 


We are currently seeking a Coordinator that will provide support to the EVP, Controller. The ideal candidate will come from music or entertainment or a large corporation, and have previous experience supporting one or more senior level executives. This role requires exceptional attention to detail, great organizational skills, the ability to liaise with the EVP's direct reports and support with projects, meet critical deadlines and to juggle multiple priorities in a fast-paced environment, and being comfortable with regularly exercising discretion and independent judgment on important matters. No task is too small and no challenge too great. A “can-do” attitude is essential. This position will work in Santa Monica, CA on a Hybrid work schedule (Monday-Thursday in office).


How You’ll CREATE
  • Book travel, accommodations, & car services
  • Create and maintain presentations and other projects as assigned
  • Handle administrative duties
  • Work closely with the Corporate Development and Strategy Team on various projects (including the monthly newsletter)
  • Cover phone lines and manage/update calendars
  • Promptly address any IT issues
  • Track vacation for salaried employees
  • Exercise discretion when patching calls, rolling calls, and interrupting meetings
  • Coordinate cross-functional communications between teams (internal and external)
  • Work closely with other executive assistants and occasionally cover their phone lines
  • Arrange meetings and conference calls via telephone and email
  • Primary Responsibilities
  • Manage the office
  • Create and send grammatically/punctually correct internal/external company communication
  • Process travel & entertainment expenses
  • Order and set-up food service for meetings
  • Archive and organize emails by topic and keep apprised of ongoing deals
  • Order office supplies, make restaurant reservations, and approve expenses
  • Team support duties
  • Coordinate and prioritize incoming verbal and email requests
  • Proactively prepare the executive for meetings

  • Ability to interact comfortably and effectively with employees of companies we do business with
  • Minimum 3 years of experience supporting an EVP or other high-level executive with discretion and confidentiality
  • Self-motivated, curious, proactive, resourceful, and able to anticipate needs
  • Ability to interact comfortably and effectively with employees of our company at all levels including Senior Leadership
  • Excellent organization and time management skills
  • Strong proficiency in and working knowledge of Outlook and other Microsoft Office Products
  • Excellent customer service skills
  • Excellent follow-through and attention to detail
  • Experience in supporting Finance teams (accounting, controller, M&A) is a plus
  • BA in Business, Accounting, Finance, Music or related degree
  • Bilingual, English/French is a plus, not required
  • Flexible – able to adjust to changing priorities, and able to multi-task
  • 3-5 years experience in a support capacity, beyond traditional administrative duties, in a large corporate or global organization
