- Book travel, accommodations, & car services
- Create and maintain presentations and other projects as assigned
- Handle administrative duties
- Work closely with the Corporate Development and Strategy Team on various projects (including the monthly newsletter)
- Cover phone lines and manage/update calendars
- Promptly address any IT issues
- Track vacation for salaried employees
- Exercise discretion when patching calls, rolling calls, and interrupting meetings
- Coordinate cross-functional communications between teams (internal and external)
- Work closely with other executive assistants and occasionally cover their phone lines
- Arrange meetings and conference calls via telephone and email
- Primary Responsibilities
- Manage the office
- Create and send grammatically/punctually correct internal/external company communication
- Process travel & entertainment expenses
- Order and set-up food service for meetings
- Archive and organize emails by topic and keep apprised of ongoing deals
- Order office supplies, make restaurant reservations, and approve expenses
- Team support duties
- Coordinate and prioritize incoming verbal and email requests
- Proactively prepare the executive for meetings
- Excellent written and verbal communication
- Ability to interact comfortably and effectively with employees of companies we do business with
- Minimum 3 years of experience supporting an EVP or other high-level executive with discretion and confidentiality
- Self-motivated, curious, proactive, resourceful, and able to anticipate needs
- Ability to interact comfortably and effectively with employees of our company at all levels including Senior Leadership
- Excellent organization and time management skills
- Strong proficiency in and working knowledge of Outlook and other Microsoft Office Products
- Excellent customer service skills
- Excellent follow-through and attention to detail
- Experience in supporting Finance teams (accounting, controller, M&A) is a plus
- BA in Business, Accounting, Finance, Music or related degree
- Bilingual, English/French is a plus, not required
- Flexible – able to adjust to changing priorities, and able to multi-task
- 3-5 years experience in a support capacity, beyond traditional administrative duties, in a large corporate or global organization
