Job Description

Summary of Position

The Contract Billing & Support Manager provides organizational services to the branch with respect to contracts, billing and other office management responsibilities. This individual will have direct accountability for contract management and billing functions in the branch and reports to the Area Manager of the Northeast branch in Kenilworth NJ.

Responsibilities

  • Invoice clients as per contract documents
  • Manages the tracking and invoicing of services such as engineering, field service, etc..
  • Conduct daily interaction with colleagues, management and customers and communicateeffectively with all levels of management both, internally and externally.
  • Works with sales and creates change orders for the client when scope exceeds original contract amount.
  • Generate all invoicing error credit request documents for approval
  • Notates all billing information in Discos II as per the executed contract
  • CloseProjects in Discos II and setup new customers and new projects in Discos II
  • Handles all customer certificate of insurance requests
  • Provide sales with copies of OFI’s, Invoices, and any billing supporting documents
  • Provide onsite support in the branch, often solving problems on short notice with minimal information.
  • Oversee all credit requests process from sales, compare to contract documents to determine if credit request is valid and should be approved by area manager.
  • Ensures no material ships to projects without signed contracts
  • Ensures all billing in Discos II matches the contract documents on BOL by BOL basis.
  • Communicates, tracks, and files all contracts in the branch from proposal stage to executed contract.
Qualifications
  • Computer proficiency including Word, Excel, PowerPoint and Outlook.
  • HS Graduate or equivalent technical school education.
  • Excellent communication skills including an excellent command of English (speaking, reading, writing). Able to communicate effectively with all levels of management and staff.
  • Facilitate projects and effectively manages multiple tasks.
  • Willing and able to learn new products, concepts and techniques.
  • Bachelor’s Degree in Business preferred.
  • 3-5 years recent experience in administration, finance or operations a plus.
  • Qualitative abilities including strong analytical skills, technical proficiency and effective problem solving skills.
  • Organized team player able to work in a deadline driven, results driven fast-paced environment with the ability to think strategically and analytically.

Other Responsibilities/Peripheral Functions

  • Other duties/projects as assigned; including participating in company committees/teams.
  • Complies with all corporate policies and business practices.
  • Assists in ensuring safe working practices and a safe working environment.
