Job Description

Summary: The Project Coordinator is part of a program management team, managing programs consisting of multiple projects for our multi-site clients. This role assists the Project Team with the documentation, administration and tracking of construction projects from the pre-planning stages through construction and project closeout. Direction on specific tasks are assigned by either the Sr Project Coordinator or Project Manager team members.
This is a remote based position, supporting our South Central Team based in Texas, Louisiana, Mississippi, and New Mexico.
Essential Duties And Responsibilities
  • Assembles and distributes reports for internal and external customers.
  • Maintains confidentiality with sensitive or proprietary information on behalf of project team.
  • Updates status of projects and key milestone dates in Client and/or Company project management systems.
  • Sets up projects in Client and/or Company project management systems, including all required project documentation.
  • Responsible for acquiring, coordinating, and submitting owner required close-out documents for project closeout and final contractor/supplier payments
  • Verifies and manages payment to contractors and vendors during construction
  • Leads or assists in drafting, distributing and tracking of Contracts, Purchase Orders, and Change Orders to subcontractors/suppliers.
  • Maintains project documentation throughout duration of project

Qualifications
  • Minimum high school diploma or equivalent; or 2-4 years related experience and/or training; or equivalent combination of education and experience.
  • Respond effectively to sensitive inquiries.
  • Demonstrates ability and willingness to face challenges, solve problems, and motivate others, while maintaining effective relationships with customers by meeting or exceeding their requirements and expectations.
  • Ability to communicate well, both verbally and in writing, with all levels of the project team including management, project management, clients, client’s organization, contractors, and vendors.
  • Ability to adapt and learn new techniques and processes under constantly changing competitive marketing demands.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization may exist. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
  • Read, analyze, and interpret complex documents.
  • To perform this job successfully, an individual must have competent working knowledge of data analysis within Microsoft Excel and email management tools within Microsoft Outlook.
  • Excellent interpersonal skills.
  • Experience with Smartsheets highly preferred.
  • Experience in multi-site projects preferred.
