Agency Description
The Office of Judicial Records (formerly Office of the Prothonotary) is considered the clerk who keeps records and the Great Seal of the Commonwealth, issues process, enters judgment, and certifies the record. The office was created under the provisions of the Constitution of the Commonwealth of Pennsylvania. The duties, responsibilities, and other provisions of the office are determined by statute.
In a society as litigious as ours, where the issues brought before our civil courts range from action in divorce to a personal injury for serious bodily harm, the need for accurate, efficient record keeping is paramount; for in the law, if it is not proper and timely filed, it does not exist. It is the goal of the Office of Judicial Records to improve through innovation and technology the art of record keeping.

GENERAL DEFINITION:
This is a part-time, clerical position in the Office of Judicial Records for the Court of Common Pleas. This is entry level clerical work performed under the supervision of a clerical or administrative supervisor. The work is easily learned and once learned, can be performed without close supervision. Employees in this class may be required to perform data entry work as needed.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED TO PERFORM ESSENTIAL FUNCTIONS:
- Ability to sort papers and documents and file alphabetically.
- Ability to establish an effective working relationship with coworkers and correspond with the general public in a professional manner.
- Ability to meet deadlines.
- Ability to perform basic mathematical functions.
- Ability to effectively communicate the English language both orally and in writing.
- Ability to use personal computer and learn applicable software to perform data entry.

- Some experience in an office environment is preferred.
- Ability to perform the essential functions of the position.
- City residency required within (6) months of satisfactory completion of employment orientation period.
- Ability to deal with the public in a courteous and professional manner.
- Student 16 years of age or older with a valid Student Worker Permit.
- Successful completion of criminal background investigation.
- Covid-19 Vaccination is recommended.
ESSENTIAL FUNCTIONS:
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Completes standard forms as instructed.
- Sorts and files papers and documents according to existing filing system.
- Receives requests for court records from lawyers, court officials and the public.
- Uses standard office equipment to record, store, retrieve, duplicate or present information.
- Performs routine data entry functions to enter information into or retrieve from court computers.
- Directs the public to appropriate departments based on simple inquiries.
