The primary purpose of this position is to perform somewhat difficult and responsible clerical work in office, business, or fiscal operation, requiring some training and experience gained from previous work experience and training, a working knowledge of a subject matter area, or the exercise of independent judgment in accordance with well-established procedures. Responsibilities Receives and directs telephone calls or visitors. Processes incoming mail. Maintains files and posts updates to manuals on policies, directives, and memoranda. Prepares and maintains office forms of various types such as overtime requests, time sheets, and timecards for personnel within the office. Performs routine, miscellaneous clerical work. Requirements Conditions of Employment Qualifications In order to qualify, you must meet the general experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. GENERAL EXPERIENCE: Applicants must have at least six (6) months of general experience. General experience is progressively responsible clerical, office, or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled, such as working within a body of standardized rules, procedures, or operations requiring training to perform clerical assignments and resolve recurring problems. Examples of general experience include: maintaining files, receiving telephone calls and visitors, processing incoming mail, processing forms and requests used in various office support tasks, such as time and attendance and office supply requisitioning, filing correspondence, maintaining time and attendance information, and ordering office supplies. OR EDUCATION: One (1) year above high school, obtained in an accredited business, secretarial or technical school, junior college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. OR COMBINATION OF EXPERIENCE AND EDUCATION: Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: Working knowledge of general office administrative and clerical procedures to distribute mail, answer telephone, keep appointment calendar, maintain files/office forms, and order supplies. Ability to learn organization's function and procedures sufficient to receive visitors or telephone calls, distribute mail, and maintain files, etc. Ability to read and interpret specific procedural guidelines pertaining to administrative support, including locally developed equipment operating and document processing instructions, which are directly applicable to the work. Ability to learn filing systems and procedures. Ability to communicate effectively orally using tact and courtesy. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
