Job Description

PURPOSE:

The Business Transformation Office (BTO) Reporting Manager will be a key role with the Transformation office. This role will support the coordination, communication, and reporting needs for the office in addition to leading the project management tool. This includes but is not limited to designing, developing, and implementing project reporting processes, methodologies, and governance policies. The incumbent supports the maintenance and upgrading of the office toolset, application/infrastructure systems and services.


ESSENTIAL FUNCTIONS:

Job Responsibilities

  • Monitors and sets appropriate milestones and tracks overall project performance and dependencies across multiple inter-related projects
  • Participates in the project planning process (high level), works with individual program/project leads to establish plans, milestones, and dependencies
  • Facilitates cross-functional and program discussions to close open items and pending decisions where applicable
  • Gathers and aggregates cross transformation program views (e.g., status, RAIDD, resourcing, change control) and ensure completeness and accuracy of reporting Supports program/project health checks including adherence to program management standards across all projects including Project Plan governance
  • Establishes deliverable and list tracking controls and support quality checks; evaluating completeness of risks, issues and change requests
  • Refreshes and communicates resource demand/capacity reports, identified gaps
  • Assists new BTO team members with onboarding / offboarding (system access, background, tools, processes, and training)
  • Manages key communications and meeting cadences to support the flow of information between key functional leaders.
  • Supports data entry into various tools, templates, and dashboards for management reporting
  • Creates and executes project plans on a small portfolio of assigned strategic and transformation initiatives, as needed
  • Supports business/IT team members with preparation of Steering Committee Meeting materials and logistical arrangements
  • Develops clear milestones and identifies resources for initiatives.

JOB REQUIREMENTS:

Education/ Certifications/or Equivalent combination of education training and experience:

  • Bachelor’s degree in management information systems, computer science, or related discipline is preferred
  • PMP Certification preferred

Experience:

  • Managing conflict and enforcing governance to departmental policies and procedures
  • Strong analytical and general business analyst skills
  • Experience using multiple delivery methodologies, including waterfall and iterative
  • Experience leading a team(s) made up of associate and contract resources in multiple locations
  • Experienced project manager comfortable facilitating rapid resolution
  • Demonstrated ability to influence key leaders
  • Comfortable managing multiple priorities and applying critical thinking to complex projects by working with multiple program leaders/teams
  • Able to build rapport with various levels of team membership
  • Experience working on large program/transformation
  • Experience working with qualitative and quantitative data /reporting methods
  • 3 - 5 years of Project Management experience required

Knowledge/ Skills/ Abilities:

  • Strong analytical and problem-solving skills
  • Advanced knowledge of Microsoft Project required
  • Ability to manage competing priorities
  • Excellent written and verbal communication skills, strong customer focus and demonstrated ability to work in geographically dispersed teams
  • Clarity Project and Portfolio Management (CA PPM) is preferred
  • SharePoint and similar collaboration tools
  • Ability to build strong teams across dispersed work locations, including mentoring and providing developmental goals
  • Flexible and adaptable to learning and understanding new technologies

PHYSICAL ENVIRONMENT/DEMANDS:

  • Stooping, bending, twisting, and reaching may be required in completion of job duties.
  • Most work is performed in a temperature-controlled office environment.
  • Some travel may be required.
  • Incumbent will use calculators, keyboards, telephone, and other office equipment as part of the normal workday.
  • Incumbent may sit for long periods of time at desk or computer terminal.
  • While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle, or feel, reach with hands and arms, and talk or hear.
