Malcolm Drilling has been innovating and leading the deep foundation industry for over six decades. As part of our deep foundations, retention systems, and ground improvement services, we also provide a range of special applications and dewatering techniques. By implementing Design/Build, we are able to execute projects quickly and effectively, allowing for timely collaboration with owners and contractors. Our services are available nationwide, facilitated by our strategically located regional offices.

Job Title: Business Office Manager

Location: San Diego, CA (onsite 5 days per week)

Responsibilities:

  • Hiring staff for office administrative positions.
  • Managing petty cash and maintaining accurate records.
  • Managing the procurement of office supplies from Costco and other vendors.
  • Handling contracts related to insurance coverage.
  • Supervising building maintenance activities to ensure a safe and functional work environment.
  • Maintaining attendance records for the office staff.
  • Handling credit card reimbursements and reconciliations.
  • Conducting the onboarding process for new hires, ensuring a smooth transition into the company.
  • Coordinating the ordering and maintenance of phones and computers.
  • Managing fuel cards and monitoring their usage.
  • Overseeing the procurement and renewal of business licenses.

Accounts Receivable:

  • Monitoring and managing the backlog of invoices, payments, and financial transactions.
  • Collecting payments from clients and ensuring timely and accurate processing.
  • Managing deposits of funds received into the company’s accounts.
  • Handling monthly billings using various software programs such as Plexxis, Textura, Procore, and GCPay.

Qualifications:

  • Prior experience in construction, engineering or related industry preferred.
  • Intermediate Excel skills required.
  • Ability to communicate both verbally and thoroughly writing in a professional, courteous, and knowledgeable manner.
  • Knowledge of basic accounting principles.
  • 5+ years of previous office management.
  • Ability to prioritize and organize tasks according to deadlines and complete them in a timely manner.
