Job Description

PRIMARY PURPOSE


The Associate Project Manager (APM) will work in tandem with Project/Program Managers, Portfolio Directors or the PMO Senior Director to perform project management/portfolio system administration and project management duties in support of the completion of projects; APM(s) may participate during all phases of the project management process and will also run smaller projects themselves which are primarily related to project management office tools and delivery processes. Under the guidance of the aforementioned PMO stakeholders, the APM will serve as the business system admin and reporting lead of Planview PPM Pro. The APM will intake and implement enhancements to Planview, schedule and conduct project meetings, communicate assignments and expectations to project team members and track completion of deliverables to ensure the quality and integrity of all project-related products.


MAJOR FUNCTIONS/RESPONSIBILITIES
General Project Management Office System Administration & Project Management:

  • Identify system issues and logging troubleshooting tickets with external vendors
  • Project management office tooling user administration support
  • Provide operational support (reporting, financial system research, end user how to, etc.) to PMO leadership, Project Managers and IT partners
  • Prepare end user training materials
  • Prepare necessary presentation materials for meetings as well as document and follow-up on important actions and decisions from meetings
  • Organize and attend stakeholder meetings
  • Maintain and monitor project plans, project resources, and budgets within PMO tools
  • Manage projects of 1-3 months in duration, primarily related to PMO project management tools

Communication

  • Resolve and/or escalate issues in a timely fashion with the ability to understand how to communicate difficult/sensitive information tactfully
  • Ability to communicate with core project team as well as leverage PMO team for best practices
  • Strong verbal, written and presentation skills
  • Ability to communicate system features and functionality to end users

DECISION MAKING AUTHORITY

  • Adept at gauging and validating the priority of operational requests
  • Work with minimum supervision, but, when necessary, consult with either PMO leadership or project/program stakeholders for direction and/or clarity
  • Skilled at making educated decisions on how to manage tasks with the team, with some supervision as needed
  • Exercise sound judgment to meet deadlines and prioritize projects and tasks


RECOMMENDED EDUCATION/ EXPERIENCE/ SKILLS

  • Ability to work both independently and as part of a team
  • Full project lifecycle- from conception to production managing all aspects of solution delivery including inception, scope definition, business case development and approval, resource planning, requirements gathering through development and ultimately deployment, budget management, status reporting, and risk management.
  • One – Three years of experience or exposure to IT project planning and operations, preferably within a technology department or organization with experience in the following areas:
    • Tools - Experience with varying project delivery, project portfolio and application development tools such as Planview, LeanKit, Tasktop, Workday, JIRA, Azure DevOps (ADO), SQL Query Analyzer as well as project management tools including MS Project, SharePoint, Word, Excel, PowerPoint, and Visio
    • Full project lifecycle- from conception to production managing all aspects of solution delivery including inception, scope definition, business case development and approval, resource planning, requirements gathering through development and ultimately deployment, budget management, status reporting, and risk management.
    • Methodology - Structured project management methodologies with formal tools/approaches. Experience with recognized application development methodologies such as Waterfall, Iterative and Agile preferred.
    • Communication - Excellent facilitation, verbal and written communication and interpersonal skills with the ability to communicate effectively at all levels and to all functional groups, translating technical requirements and issues into appropriate business context.
  • Knowledge of file management, transcription, and other administrative procedures
  • Exposure to delivery and management of projects
  • Methodology - Structured project management methodologies with formal tools/approaches. Experience with recognized application development methodologies such as Waterfall, Iterative and Agile preferred.
  • Communication - Excellent facilitation, verbal and written communication and interpersonal skills with the ability to communicate effectively at all levels and to all functional groups, translating technical requirements and issues into appropriate business context.
  • Bachelor’s Degree or higher in Engineering, Technology, Project Management, or related field
  • Tools - Experience with varying project delivery, project portfolio and application development tools such as Planview, LeanKit, Tasktop, Workday, JIRA, Azure DevOps (ADO), SQL Query Analyzer as well as project management tools including MS Project, SharePoint, Word, Excel, PowerPoint, and Visio
  • Experience with project management and or project portfolio management tools/reporting systems, such as Planview and Workday
  • Competency in Microsoft applications including Word and Excel. Knowledge and exposure to PowerPoint, Outlook and Microsoft Teams.
  • Working towards PMP (Project Management Professional) Certification, Certified ScrumMaster or equivalent is beneficial
  • Experience building project related dashboards and reports

Self-Direction - Self-starter with the ability to work independently with minimal supervision in a dynamic environment with rapid project delivery cycles, multifunctional teams and tight project timeframes.
