Associate Director of Facilities & Operations, Cambridge, MA
Full-Time, Monday-Friday hours
Are you a proven leader with a keen attention to detail who motivates by example and multi-tasks well? Come join our large team onsite at Harvard Recreation as the Associate Director of Facilities & Operations. Reporting to the Director of Recreation, you will be responsible for building oversight and management for 3 recreation buildings: Malkin Athletic Center, Hemenway Gymnasium, and Quadrangle Recreational Athletic Center. You'll oversee two full-time staff members, the Assistant Director of Membership & the Assistant Director of Facility Operations, and their departments. A critical responsibility in this role is to collaborate and work with all the HealthFitness Management team and the Harvard Facility Managers to ensure both short & long-term operational success is achieved. Other duties as needed/assigned. Key Accountabilities:
Facility Oversight
  • Collaborate with varsity coaches, athletics administration, and building managers to schedule building hours and court schedules throughout the year.
  • Manage facility operations of the 3 recreation centers.
  • Communicate on the progress of and assist with planning and tracking building capital projects.
  • Work with the Assistant Director of Marketing on all building signage to keep members informed and safe.
  • Partner with facility managers to identify projects, ensure that daily cleaning is performed, and schedule building maintenance.
Operations Team Supervision
  • Support team and maintain a strong working knowledge of Innosoft Fusion and SubitUp.
  • Manage, lead, and supervise Assistant Director of Membership and Assistant Director of Facility Operations.
  • Supervisory responsibilities in accordance with HealthFitness policies, procedures and applicable laws including recruiting, orienting, training, evaluating, developing and planning the succession of associates. Plan, assign and direct work assignments to ensure staff remains challenged and productivity is maximized.
  • Staff training & development to promote and encourage career growth. Conduct annual formal performance appraisals and initiate formal corrective action process when warranted.
Risk Management & Supplies
  • Track supplies, subscriptions, and product inventory for maintaining day-to-day operations.
  • Maintain all risk management protocols. Ensure departmental Emergency Action plans are up to date.
  • Ensure compliance and maintain warranties of equipment.
What We’re Looking For
  • Current Adult CPR/AED and First Aid certifications from American Heart Association, American Red Cross or American Safety & Health Institute.
  • Excellent communication skills, ability to effectively communicate information in a clear and understandable manner both verbally and in writing.
  • 5+ years of relevant work experience in facility operations or management including risk management and scheduling.
  • Computer proficiency in MS Office including at minimum Word, Excel, and Outlook.
  • Demonstrated customer service experience. Strong interpersonal and customer service skills including the ability to motivate others and effectively organize and prioritize work demands.
  • Bachelor’s Degree in sports management, business administration, leisure/recreation, or relevant field.
  • Ability to regularly move between three facilities separated by two miles and lift up to 50 pounds.
