Job Description
Reporting to the Deputy Dean, the Associate Dean for Academic Affairs has responsibility for the academic administration of graduate programs and students in two of the four academic divisions (the Natural Sciences and Engineering). Working with directors of graduate studies, other faculty, and staff in the departments within these two divisions, the Associate Dean orients new community members (faculty and students), articulates and enforces Graduate School policy, advises and supports graduate students, and works to resolve academic and enrollment issues. The Associate Dean reads and approves the graduate applications put forward for admission by all departments in the natural sciences and engineering. The Associate Dean oversees enrollment and degree program status reviews and changes (including through the annual reenrollment process), tracks grades and degree milestones, and approves advanced degree materials for the Ph.D. Final Public Oral (the FPO, or defense of the dissertation). The Associate Dean investigates and manages academic integrity violations and may serve as secretary to the Discipline Subcommittee of the Faculty Committee on the Graduate School. Additionally, the Associate Dean serves as assistant secretary to other subcommittees of the Faculty Committee on the Graduate School. The Associate Dean is the Graduate School’s primary liaison to the Office of the Vice Provost for Institutional Research and manages surveys and the analysis and presentation of data gathered through these surveys.


Responsibilities


MAJOR AREAS OF RESPONSIBILITY:


ACADEMIC ADVISING AND ADMINISTRATION: Meets with students and faculty to discuss enrollment issues and to resolve grievances or disciplinary matters. Carries out enrollment and degree program status reviews and changes; oversees, communicates, and documents enrollment terminations, leaves of absence, and readmissions; tracks degree milestones, incompletes and grade change request; and reviews and approves all requests for Curricular Practical Training, which allows graduates to be employed off campus while receiving course credit. Oversees the reenrollment process for all graduate students in the sciences and engineering by reviewing self-assessments and faculty assessments of students and makes determinations about whether students have met degree milestones and should be reenrolled on an annual basis.


DEGREE CERTIFICATION: The Associate Dean approves requests and associated materials for the Final Public Oral (FPO) examination required of Ph.D. candidates, ensuring that all department and Graduate School committee requirements are met. Also reviews advanced degree lists sent to the Board of Trustees.


ADMISSIONS: Reviews and approves all files put forward by departments for admission to the Graduate School, which runs from December through April, and reviews and approves request for deferrals of admission. Chairs academic review portion of admission meetings for all departments in the sciences and engineering.


OTHER ANNUAL PROCESSES: Orients new graduate students by providing academic advising programming during New Graduate Student Orientation and orients and participates in ongoing training of faculty directors of graduate studies and graduate program administrators within the departments. Oversees and approves annual updating of Fields of Study listings for all graduate programs in the sciences and engineering (the listing of requirements for degree programs).


STUDENT RECORDS SYSTEMS AND DATA: Supervises the office's Graduate Student System Specialist and serves as the Academic Affairs project lead for student-records related data and systems project, and also serves as the Academic Affairs liaison to the Registrar for all student records-related issues and projects. Primary responsibility for Graduate School surveys, working directly with the Vice Provost for Institutional Research - charged with designing, implementing, and analyzing our graduate student surveys to meet the needs of the Graduate School, departments, and other campus partners.


Qualifications

  • Strong data analysis and presentation skills;
  • Outstanding oral and written communication skills;
  • Ability to handle highly sensitive information in a tactful and professional manner;
  • A doctoral degree, preferably in a science or engineering degree program offered at Princeton;
  • Ability to work independently on concurrent projects and to manage competing demands and deadlines;
  • At least seven years of relevant administrative work experience, with a deep understanding of and appreciation for graduate education, and in particular for highly selective Ph.D. programs;
