Job Description


POSITION OBJECTIVE

The Assistant Director of National Youth Sports Program and NYSP 365 will provide the operational support for funded community outreach programs for school-aged children in the greater Cleveland area. These programs primarily include the National Youth Sports Program (a five-week summer day program experience that combines sports activities, educational enrichment, nutrition, and health services to 300 socio-economically disadvantaged Greater Cleveland youth aged 8 to 16 years old), and NYSP 365 (a year-round program of events and special activities that also include participants’ families designed to develop community and promote educational opportunities for safe fun). The program manager will assist with a wide variety of matters dealing with human resources, health and safety, scheduling, planning and other issues that involve all levels of administration and rely on experience, independent judgement and decision making to resolve problems and provide exceptional service for each program. This person will aid in the maintenance of the finances of all programs and ensure policies and procedures are compliant with the university, federal, and state policies.


ESSENTIAL FUNCTIONS

  • Assist the year-round NYSP 365 program, which serves fifty 3rd through 12th grade students annually from the Cleveland Metropolitan School District, other partner schools, and their families. Join with community agencies in the delivery of college preparation services, life-skills, leadership, inclusion and diversity training and through on-campus experiences designed to motivate post-high school college attendance and career pursuits. Assist the management team (NYSP Coordinators and community agencies) in developing long- and short-term strategic plans and determine summer staffing. Supervise Case Western Reserve University students and volunteers. Engage stakeholders to ease communication and provide transparency regarding project issues, decisions, and measurable outcomes. (40%)
  • Work with the director to facilitate with the Offices of Government and Corporate Relations, and of Corporate Foundations, the annual funding requests for The City of Cleveland, Starting Point’s My COMM and other grants. Coordinate with the division grant administrator to ensure compliance with university grant policies and procedures. (12%)
  • Configure and manage the CampusGroups engagement platform, the Collaboratory platform, the EMS registration system, the ETO platform, and the Cogran registration system for the National Youth Sports Program and NYSP 365. Use these systems to enroll participants and manage groups (this includes the collection and verification of application, health history, medical screening, permission slip, waiver data and program attendance), market and schedule events, invite and track group member attendance, distribute email, newsletters and push announcements, message members collect on-line payments, maintain directory information. Create and utilize forms, surveys, and polls. Analyze data to create reports for continued program improvements and reporting. (10%)
  • Develop the year-round component of NYSP 365 leveraging University Circle and Case Western Reserve University facilities. Create NYSP 365 programming that will give students exposure to college curriculum, residential life, health and wellness activities, as well as explore STEM and arts opportunities around the Case Western Reserve University and Cleveland community. (10%)
  • Ensure policies and procedures in compliance with university, state and federal law that clearly convey the ideals of each program and promote the safety and concern for all program participants of National Youth Sports Program and NYSP 365. Update, and maintain training material for all program staff. Track completion of all training and background checks of all staff members (i.e., blood pathogen, concussion protocol and child abuse prevention). Provide parents and participants an informational document regarding program rules, regulations, and parent’s responsibilities. (6%)
  • Use funds appropriately so the programs have the necessary equipment to ensure success. Reconcile all expense statements and credit cards on a regular basis to ensure programs are on budget. Work with the division grant administrator to make necessary changes to grant, new grant set up, legal review of contracts, and timely reporting to funders for each program. (6%)
  • Work with staffing services providers to provide each staff member with appropriate documents so that each employee is hired and is compliant with all state and federal laws, and to ensure each employee is paid in a timely manner. Oversee that all time/ attendance is recorded properly, and clerical staff that are hired when programs are in full operation. Facilitate the completion of criminal background checks with the university police for the appropriate staff members working with minors. Ensure all program staff comply with the university’s youth protection policy. Ensure each program partner has an up-to-date memorandum of understanding approved through the office of General Counsel. (6%)


NONESSENTIAL FUNCTIONS

  • Participate in annual US Department of Agriculture training and work with the university caterer to plan healthy lunch and snack options for all program participants within budget and in compliance with the US Department of Agriculture guidelines. Create marketing information and food guidelines. Formulate a plan and provide appropriate personnel to oversee lunch hour and a count of lunches for correct invoicing and payment reporting to the US Department of Agriculture. (3%)
  • Schedule and remunerate medical residents and personnel to provide medical screenings to ensure program applicants are healthy enough to participate. Work with athletic trainer/ medical coordinator to ensure all health issues of applicants are reviewed and applicant is cleared to take part in program activities. (3%)
  • Communicate with caregivers and follow-up regarding issues uncovered during medical screenings. (2%)
  • Write copy and create materials for radio, social media, website, calendars, and team meetings; collaborate with University Marketing and Communications as needed. (2%)


CONTACTS

Department: Daily contact with director to confer on programs, funding, and special events. During summer program, hourly contact to resolve any issues that may pose a problem to program’s successful operation that day. Frequent contact with the assistant vice president for local government and community relations and sponsored projects staff to support year-round program operations and with marketing and communications and web platform administrators to promote program and student activities.

University: Regular contact with Compliance Office and Human Resources to support program and/or university policy changes and updates. Regular contact with University Relations, Corporate Relations, and Foundation Relations to provide information regarding grant solicitations and reporting. Regular contact with Frances P. Bolton School of Nursing and School of Medicine. Regular contact with University Housing and school food service provider, Bon Appetit to support residential and United States Department of Agriculture guidelines. Contact with the Athletic Department to support program operations. Contact with the CampusGroups administrator along with [U]Tech personnel for assistance and expertise in managing this engagement platform/ group management system. Contact with the Multicultural Affairs, the Office of Diversity and Inclusion, Social Justice Institute, Interdisciplinary Affairs, Student Activities, Center for Civic Engagement and Learning, and MediaVision.

External: Continuous contact with Cleveland Metropolitan School District officials to support the NYSP and NYSP 365 programs. Frequent contacts with Cuyahoga County community stakeholders for requirements and reporting. Frequent contact with Cleveland Browns, Starting Point, Cleveland Metropolitan School District, University Hospitals, University Circle Incorporated, and the public to support program operations. Occasional contact with United States Department of Agriculture in programming support of the National Youth Sports and NYSP 365 programs.

Students: Occasional contact with Case Western Reserve University students for employment opportunities and service with NYSP and NYSP 365.


SUPERVISORY RESPONSIBILITY

Directly supervise NYSP 365 personnel during year-round programming activities. During the National Youth Sports Program pre-program and while the program is in session, supervise contracting all program staff: provide training and adhere to policy, time reporting, revise scheduling when a person calls in sick, and ensure timely payment of salaries.


QUALIFICATIONS

Experience: 3 to 5 or more years of related experience. Accounting and/or record keeping in an educational or a non-profit setting is preferred.

Education/Licesning: Bachelor’s degree required Must have an Ohio Driver’s License.

WORKING CONDITIONS

For the most part, office conditions, working on keyboard and on a computer. During the summer program, a lot of walking outside in summer weather conditions. May have to put in extra hours during preparation for and during the summer program. Must have an Ohio Driver’s License and take university driver’s training.
