POSITION TITLE

Assistant Director for Res Life Maintenance Operations
Position reports to the Associate Director for Facilities Ops and Maintenance
GENERAL RESPONSIBILITIES FOR THIS POSITION INCLUDE:
  • Serve as support to the Associate Director of Facilities and student needs
  • Lead the day-to-day operation of maintenance programs, logistical operations, staffing, life safety programs, utility upgrades and small contractual projects.
  • Directly supervise a team of Administrative and multi-craft maintenance
  • Forecast budget and resource utilization for Res Life Facilities
  • Oversee departmental work order system, inventory and budgets
  • Manage and refine the maintenance operations to support student needs; mechanical support; life safety improvements and reports; as well as project manage construction, vendors, and communication with Facility Services, Fire Marshal, and University partners.

With the increasing growth and development of the University, the student needs and departmental management, this position can expect to grow and reorganize an existing team to train and develop efficient work order completion and address student needs. As a leader and back up to the Associate Director for Facilities Operations, this is an opportunity to provide strategy, direction, and leadership to both the maintenance team as well as the department in creating programs to match the changes in all areas of facilities. As the leader of this team, this position is a direct liaison with the Universities’ Facility Services in managing the dedicated positions as well as working closely in maintaining policies and University standards. As a tactical partner the evaluation and advising on long-range planning and regulatory actions is a crucial piece to this position. Deferred maintenance and budgeted projects will be in the forefront for this position. A strong knowledge of inventory and fleet management is necessary for the maintenance organization. The opportunity to grow and develop is a perk for the position in order to support the University standards of operations.
Review and establish assessment data
Assessment data collected primarily through the CMMS data daily will help in the management of the team. This position will use this to manage work, projects, planning, inventory and budgets. The opportunity to use data to provide valuable decision-making information to improve assets for efficiency and completion; maintenance and upgrades of mechanical equipment; life safety and fire alarm data are all valuable in the day-to-day operations. Development and direct cost studies within the facilities operations will lead a high demanded team working to improve workflow and savings. The use of assessments and reports based on the CMMS data, budgets and inventory will be collected and reviewed with the Associate Director in order to maintain a standard of excellence and develop necessary improvements. This position will perform the technical planning of the facilities operations day-to-day activities including the delivery of an excellent preventative and predictive maintenance.
Quality Control and Communications
Being committed to providing high-quality experiences, quality control is a valuable part of the daily process. Through site inspections; using CMMS data for evaluations; project management; working with outside contractors and University team members gives the opportunity to improve and manage existing inventory as well as helping in the development of projected projects. As the maintenance leader, managing communication between Res Life and the University on all related Facility issues, notices, projects and emergencies will be required. As a leader, the aid in the in-house training and certification programs to maintain equipment and campus environment standards will be a priority. Daily communications with the team, the in-hall staff, administration, students, parents, vendors, and facility services are part of the daily operations and necessary to succeed. The development of a strong quality control program is essential in maintaining a successful operation.
Training and Development
As the Assistant Director of the Maintenance Operations, continuous training is required in all facets of the program from technical to computer assistance, policies and procedures to life safety and environmental programs. The management and reassessment of existing Life-Safety reports and programs is an area of opportunity to improve successful outcomes. An opportunity to work with staff in OSHA and EPA programs and training will be available to grow the staff and their knowledge. This position will participate in the promotion of a safety culture at LSU and provide a safe, healthy environment to support LSU’s student housing. Collaboration in the management of the dedicated maintain team, the CMMS system, projects, and staffing is a part of the daily operations. Helping staff obtain certifications and participate in advance training session to support the department is encouraged.

RESPONSIBILITIES:
  • 35% Opportunities and Assessment
Advance and administer direction on a daily basis for a small dedicated in-house maintenance team supporting all residential own facilities. Use the established CMMS program to manage work flow, assessment of work and costs, run a quality control program and manage outside vendor and contractor supported programs. Refine and grow a strong successful team to support student needs and development in housing. Maintain and manage supplies, fleet, inventory, and budgets for the maintenance area. An opportunity to grow the team for after hour and weekend support functions.
  • 25% Leadership
Supervise and manage daily operations for the maintenance team and projects. Train and grow the skill levels of the team members to support the ever-changing demands, policies, and procedures within the trades. Maintain time, leave, and HR functions in conjunction with the Universities' facilities team. As the leader of the operation this position will be the primary liaison between Res Life dedicated maintenance and Facility Services. Continually lead in training and development of all
maintenance facets and support. Lead the maintenance team in emergencies and events
  • 25% Financial
Responsible for the dedicated budgets for maintenance of 23 different accounts; 23 facilities; 20+ vehicles; and other maintenance inventory/assets. Direct inputs and accountability of repairs and replacements for these items. Fiscally report and provide input for new budgets in regards to facility support. Show assessment data for budgetary spending throughout the fiscal year
  • 15% Communications
Daily reports of work order completion and labor reports in line with established KPI's. Communication of maintenance impacts within facilities with students, staff and University officials. This position will be responsible for the communication of emergency situations, impacts and notices for all areas. The liaison regarding staff and work order with the Universities' facility services. Provide feedback and information to support staff, students and parents.
MINIMUM QUALIFICATIONS:

Bachelor's Degree in Industrial Technology, Facilities Management, Construction Management, or related field. 5 years’ experience
Demonstrated experience at a college, university or similar enterprise dealing with large building management, including a knowledge of trades; facility planning and development, business procedures, budgets, personnel administration and technology. Ability to read project prints, interpret specifications/ bid documents, and code compliance. A knowledge of methods and techniques necessary for the effective management of maintenance programs and equipment. Strong managerial and communicational both oral and written skills.
DESIRED QUALIFICATIONS:
Master’s degree in Construction Management or Industrial Engineering with 7 years’ experience.
Familiarity with large commercial operations, a University setting, or institutional multi-faceted operations for diverse living structures. Strong experience in logistics, management, purchasing/procurement, civil service policies/procedures, ADA, building codes, and life safety. A working knowledge of a digital work order system and the ability to conduct, report, and manage accurate facility assessments.
