Position Summary
Trinity College seeks a staff that reflects the changing demographics of our student body. The Assistant Director of Campus Operations administers the college’s campus space and support services database, manages the department’s technology solutions, supervises the vehicle fleet program and Post Office, and assigned external and operational programs.

College Campus Space and Support Services Database
  • Develop and manage campus space database training program for the campus community (faculty, staff, students).
  • Ensure Communications style guidelines are implemented for web-based applications through the integration of EMS to Live Whale (Trinity Today and College website);
  • Manage, administer, and direct use of the college’s campus space and campus support services (facilities, dining services, campus safety, IT and Media Services and Access Control) database (EMS) to assure provision of logistical operations support;
  • Monitor data integrity to ensure efficient use of College space and resources;
  • Collaborate and coordinate with the Sustainability Coordinator to ensure sustainable event practices are implemented in EMS and also incorporated into Live Whale event calendars;
  • Manage the invoicing and collections process for College space and resource use;
Department Technology Solutions
  • Oversee and manage the Post Office’s Quadient software;
  • Administer and maintain departmental website pages and a divisional SharePoint site; oversee content creation and publication;
  • Oversee Live Whale and EMS integration;
  • Manage, administer and direct all department technology solutions;
  • Oversee and manage the Social Tables software (floor plans, attendee tracking, dinner seating) and train the campus community (faculty, staff, students);
  • Efficiently utilize the College’s online payment tool, iModules, for revenue generating reservations.
Vehicle Fleet Program and Post Office
  • Provide leadership, management, and oversight for the Vehicle Fleet Program and Post Office.
Campus Operations
  • Coordinate department budgets;
  • Collaborate with the Director of Events and Campus Operations in their role as a liaison to Facilities and Dining services for events and programs;
  • Collaborate with Facilities Services, Athletics, and department colleagues to maintain the allocated contract event set up and move hours;
  • Ensure compliance with college and departmental policies and guidelines and
  • Collaborate with college departments to manage, and oversee operational and logistical support and services for external group, educational partners, and community use of space and support services;
  • Perform all other special projects and duties as assigned.
  • Serve as the alternate to the college’s Emergency Management Team in the absence of the Director of Events and Campus Operations;
  • For assigned scheduled events and programs, conduct event risk assessments; ensure required city/state licenses and permits obtained; review and ensure vendor contract requirements and compliance; make cost saving measure recommendations; appropriately code the reservations for integration into public events calendar; and identify campus operations impacts (e.g. construction, maintenance, parking restrictions);
  • Coordinate and maintain the Facilities and Operations project management and campus operations lists (e.g. summer projects, proposed projects) in conjunction with the Assistant Vice President of Construction Projects, Facilities, and Operations and the Director of Events and Campus Operations;
  • Coordinate and maintain the college calendar planning process in conjunction with the Director of Events and Campus Operations;

Qualifications

  • Communicate effectively in writing and verbally;
  • Demonstrable knowledge of:
    • Staff and operations management in a complex environment;
    • Business software for calendar scheduling, space allocation, and work-orders as well as MS Office (Word, Outlook, and Excel.
  • The ability to:
    • Communicate effectively in writing and verbally;

    • Exercise initiative, energy, and flexibility;
    • Work independently and also collaboratively;

  • Five years of progressively responsible experience in space management and campus operations in higher education.
  • Strong knowledge of software platforms including MS Office, Word, Outlook, Excel, and EMS.
  • Bachelor’s degree.
  • Must be able to bend, stoop, climb and move, pull and lift weights up to 25 pounds.
  • Business software for calendar scheduling, space allocation, and work-orders as well as MS Office (Word, Outlook, and Excel.
