Job Description

Position Summary

Motivated, detailed orientated individual with strong interpersonal skills, to work as part of a team to engage alumni in North America in support of the American University of Beirut.


Duties and Responsibilities

· Event Financials: Assist the alumni chapters in preparing and submitting their financial reports. Prepare payments to vendors for chapter and Alumni Relations Office events. Keep detailed reports of revenue and expenses for alumni activities.

·Volunteer Management: Cultivate and steward alumni volunteers. Liaise with and assist them as they plan activities and implement Alumni Relations Office programs.

·Event Planning: Develop event timelines and marketing plans. Liaise with volunteers, staff, and vendors in event preparations. Provide on-site support for during events.

·Alumni engagement programs: Assist in developing and implementing programs to engage alumni with the university, including events, webinars, reunions, and other initiatives.

·Data analysis and management: Assist in analyzing alumni data to identify trends and inform strategies to increase engagement and support. Maintain accurate alumni records and develop reports to track alumni engagement and fundraising efforts. Maintain and update alumni database for North America as needed.

·Alumni communications: Assist in alumni communication efforts, including regular email and social media updates, alumni newsletters, and other communication channels, to keep alumni informed about the university's news, events, and opportunities. Grow alumni office social media visibility by monitoring accounts and creating engaging content. Current accounts include Instagram, Facebook, and Twitter.

Work Contacts

·Reports to Associate Vice President for Alumni Relations, North America and works closely with the Director of Alumni Relations and Advancement Programs and the Alumni Relations Officer.

·Regular contact with colleagues across the Office of Advancement and other university offices, both in North America and in Beirut.


Minimum Job Requirements

·Education: A bachelor's degree is required in marketing, communications, public relations, or in another relevant field.

·Relevant experience: A minimum of 3-5 years of experience in alumni relations or a related field, such as fundraising, event management, or public relations is required. Experience working in a higher education environment is highly desirable.


Knowledge, Skills and Abilities Required

·Organizational skills: Highly organized, detailed oriented with the ability to manage multiple projects and priorities simultaneously and meet deadlines in a fast-paced environment.

·Creativity and innovation: Creative and innovative, with the ability to develop new and engaging programs and events that resonate with alumni and drive participation and support. Ability to effectively engage alumni and other stakeholders through various channels, including email, social media, meetings, and events.

·Experience using social media platforms such as Facebook, Twitter, LinkedIn, and Instagram.

·Knowledge of Content Management Systems and web design preferred. Knowledge of platforms, including but not limited to Anthology Encompass. Technical knowledge of enabling livestreaming using various platforms including Facebook Live, YouTube, Zoom, and Webex.

·Proficient with Microsoft Office suite, especially Word, Excel, and SharePoint.

·Analytical and strategic thinking: Strong analytical and strategic thinking skills, with the ability to analyze data, identify trends, and develop strategies that advance the goals of the alumni relations program.

·Strong communication skills: Excellent written and verbal communication skills.

· Collaboration and relationship-building: Able to work collaboratively with colleagues across the university and build strong relationships with alumni and other stakeholders.

·Flexibility and adaptability: Flexible and adaptable, with the ability to work independently and as part of a team and be willing to work evenings and weekends as needed.

·Knowledge of the Middle East and experience traveling and living in the Middle East highly preferred. Working knowledge of Arabic is a plus.

·Knowledge of the American University of Beirut: Familiarity with the mission and history of the American University of Beirut, as well as the alumni community, is highly desirable.

·Ability to travel locally, statewide, out of state, and/or internationally as needed. Minimal travel expected.

·Willingness to take on other job-related duties and to learn new skills as needed.


Salary Range: $65,000-$75,000 a year
