Position Announcement


Utah Valley University is seeking a part-time Assistant Coordinator for the Writing Center! Working under the direction of the Writing Center Director and as members of the Writing Center\'s administrative team, the two Writing Center assistant coordinators primarily oversee the daily operations and management of the Writing Center. The Writing Center assistant coordinators also assist with some leadership for the Writing Center, including strategic planning, assessment, communication, program and resources development, and education and supervision of the Writing Center staff.


The following workload will be split between two positions: the Writing Center assistant coordinators oversee scheduling for the Writing Center, Writing Fellows, and the Graduate Writing Center, including setting up schedules and daily maintenance of programs. This includes managing scheduling platforms, staff schedules, and schedule requests. The Writing Center assistant coordinators ensure the collection and maintaining data related to Writing Center programs and resource use and pull data for assessment reports. They oversee daily Writing Center communication, both internal and external. The Writing Center assistant coordinators help hire, train, and evaluate office assistants and train and supervise part-time staff as UVU employees, including managing timecards and payroll. The Writing Center assistant coordinators may handle purchasing and reconciling purchases and budgets under the director\'s direction and manage the Writing Center\'s physical space.


The assistant coordinators also assist with mentoring the administrative assistant and helping Writing Center programs maintain university alignment. They attend meetings, complete projects, provide committee service as assigned, and perform other duties as determined in consultation with the director.


Summary Of Responsibilities


  • Perform other job-related duties as assigned. Assists with tutoring students in the graduate writing center (graduate prep, professional documents, masters and Ph.D. level writing assignments, GRE prep, etc.) and helps conduct workshops for higher-stakes writing.
  • Manage the Daily Operations of the Writing Center: Work with the Writing Center staff to ensure Writing Center programs and services operate smoothly and stakeholders can access needed resources. This includes ensuring tutorial services and coordinating info booths, events, presentations, and workshops. Keep current on best practices for program management and work with the administrative team to ensure quality program management.
  • 20% Scheduling and Data Management: Build and maintain staff schedules for Writing Center programs. Set up schedules for all Writing Center programs using the scheduling and appointment platform WCOnline or an equivalent platform. Manage daily and long-term schedule changes. Ensure data collection, maintenance, and archiving for Writing Center programs and resources. Pull data for assessment, strategic planning, and reporting, as requested by the director or Writing Fellows coordinator.
  • Communication: Oversee the daily internal and external Writing Center communication, including email, team channels and posts, phone communication, and in-person requests. Work with the administrative team to send weekly updates to Writing Center staff.
  • Space and Resourc e Management: Maintain the physical space of the Writing Center. Work with the director to order needed supplies and equipment, including purchasing and reconciling purchases. Help en ure the financial stability of the budget and appropriate management, allocation, and accountability of resources according to university policy and procedure. Organize and maintain Writing Center files. help track and analyze budgets, staffing, and space use for Writing Center programs
  • Staff Education and Supervision: Recruit, hire, train, and evaluate 7+ office assistants. Manage office assistant education and staff UVU employee resources in Canvas. Supervise staff as employees, including helping mentor and discipline staff under the direction of the director. Oversee employee timekeeping and payroll.


Minimum Qualifications


Bachelor\'s degree or three years of post-secondary education and one year of relevant work experience; or any combination of post-secondary education and experience to total four years. Experience with tutoring/teaching in an academic or professional organization. Knowledge of and ability to work with diverse populations.


Preferred Qualifications


Preference is given to those who have completed CRLA L1+ certification and/or have completed a Writing Center training course (such as UVST 3110) with a grade of A- or better. Previous writing tutoring and/or administrative experience preferred.


Knowledge, Skill, and Abilities


  • Knowledge of and sensitivity to diverse student experiences in an academic environment
  • Knowledge and firm foundation of academic writing, especially at the graduate and professional levels
  • Knowledge of and experience with student support programs, including a good understanding of the learning process and learning differences; knowledge of tutoring/tutorial strategies
  • Knowledge of and experience with designing, planning, and implementing academic workshops and outreach initiatives
  • Skills in research, analysis, and development to identify program needs, utilize available resources, and create positive program results; skills in problem-solving and decision-making
  • Skilled in both written and verbal communication
  • Knowledge of CRLA certification preferred
  • Ability to maintain confidentiality of academic records
  • Knowledge of academic and professional genres, such as theses, dissertations, journal articles, research reports, CVs, cover letters, etc.
  • Ability to solve problems and communicate solutions with coworkers, supervisors, and students
  • Skilled with various software, including Microsoft Suite, Google Suite, Teams, MyWCOnline, and/or other learning center platforms
  • Skills in coordinating promotional events and activities and developing marketing to target particular student groups as appropriate
  • Ability to work independently and complete tasks without supervision
  • Ability to foster academic partnerships with faculty, staff, students, and students of all disciplines and academic backgrounds
  • Ability to follow written and verbal instructions
  • Ability to motivate writers
  • Ability to supervise, train, observe, and evaluate student employees
