Job Description
Job Summary
Responsible for overseeing front office staff that executes a variety of accounting and bookkeeping duties per established policies and procedures. Also, assist with month-end, budgeting, and financial review.
Duties And Essential Job Functions
Manage accounts receivable including collection. Manage office staff of 5 to 10 people. Create and maintain a pleasant work environment ensuring high levels of organizational effectiveness, communication, and safety. Responsible for managing quarterly sales tax and use. Manage proper processing of all incoming invoices for appropriate documentation & approval prior to payment. Respond to vendor inquiries. Manage and make deposits such as copier, postage machine, etc. Monitors purchases of office supplies/furniture/equipment for the staff in accordance with company purchasing policies and budgetary restrictions. Supervises maintenance of office equipment. Assist in monthly closings and month-end journal entries. Manage payment discrepancies and resolutions. Assist with customer invoices. Manage customer statements and mailing process. Generate customer manifest letters. Scans and files paperwork as appropriate. Maintains systematic, accurate, and timely processing of all accounts receivable including, but not limited to, posting payments, processing deposits, and preparing credit memos. Oversees various payroll functions and ensures timely submittal. Assist with various office operation functions. Positive communication with customers, potential customers, and co-workers. Ability to lift up to 30 pounds on an occasional basis. This position requires regular and reliable attendance. Assist in IT-related functions. Manage inventory ordering and processes.
Minimum Requirements
  • Experience in general ledger accounting, or strong Internship experience (journal entries, A/P, A/R, bank reconciliations) or AA (Bachelor's Degree preferred).
  • Detail orientation.
  • Highly proficient in Microsoft Office Suite.
  • Excellent organization skills with the ability to take initiative and prioritize.

  • Experience managing or supervising personnel preferred.

Physical Job Functions
  • While performing duties employees will be regularly required to talk and hear.

  • Requires physical ability to file-open drawers/close drawers, and move files and boxes of product.

  • Occasionally, to pick up, sort, retrieve, and place paperwork in the proper filing area.

Finger Manipulation
  • Occasionally handle paperwork, filing duties, and moving boxes of products.
Lifting/Carrying
  • Occasionally, up to 50 pounds to load presentation materials or orientation materials and take items to and from locations.
Use Of Feet
  • Frequently, operate brake and gas pedals on the vehicle and walk throughout the day to and from the vehicle to visit accounts and prospects.
