ABOUT THIS ROLE Assistant Community Managers are responsible for assisting Community Association Managers with day-to-day management of an assigned portfolio of associations. Tasks include homeowner communication, violation inspections, work order identification and input, and posting of delinquency notices for a portfolio of Colorado Springs community associations. At RowCal, the Assistant Community Managers is not tasked with all the coordination and execution of all services needed by the community but will act as a liaison between the Community Manager, RowCal supporting divisions or third-party ancillary service providers. At RowCal, we view the Assistant Community Manager as the association's "support liaison". Assistant Community Association Managers may work remotely from time to time when not onsite visits or use the RowCal Office at any time. Assistant Community Association Managers are to be knowledgeable on all associations they are assigned to. Assistant Managers are also required to meet with the Community Manager when necessary to effectively communicate community specific needs as needed by phone, email, or in-person. Assistant Community Managers are required to stay reasonably up to date with industry-specific state and local laws and regulations. In this role, Assistant Community Managers report directly to the assigned Community Association Manager as well as may receive directive from the Director of Management. The local market director must approve all vacation/PTO requests and expense reimbursements. Assistant Community Association Managers performance is tracked and reviewed based on specific metrics including:
  • Ability to periodically review and access sensitive information required to perform job tasks and maintain confidentiality. Annually
  • Act as liaison between the Community Association, the Community Manager and all RowCal supporting divisions and third-party ancillary service providers where applicable.
  • Work independently, using good judgement, decisions making, multi-tasking, and time management skills.
  • Action Item use, accuracy, and timely completion
  • Review of open violations for compliance.
  • Coordination of emergency response services. [CAM]
  • On-site inspections of all associations (if applicable and as necessary).
  • Insurance claims processing and administration. [CAM]
  • Review of an annual maintenance plan for assigned associations and coordinating the plan with the Community Manager. Assistant Community Managers are NOT Responsible For:
  • Collections. [ACCOUNTING/Legal/Compliance]
  • Oversight and procurement of insurance renewal bids. [CAM]
  • Review and addressal of all past-due maintenance work orders for completion
  • Oversight of daily management duties of community associations. [CAM]
  • Retention and administration of all association records in SharePoint including, but not limited to, governing documents, rules & regulations, management agreements, service contracts and proposals, homeowner and board communications, vendor communications, etc. [CAM Benefits: We offer competitive pay, and an excellent benefits package including paid time off, holidays.   • Provide feedback to the Community Association Manager. Monthly
  • ARC administration.
  • First contact with homeowners. [Care Team]
  • Submission of work orders in CINC Systems.
  • Update and maintain the inspection plan in CINC Systems as necessary.
  • Preparation of maintenance matrix. [Legal]
  • Audit CINC to ensure all violations are properly tracked to completion.
  • Preparation of resale certificates and status letters. [ACCOUNTING]
  • Preparation of monthly or yearly financial statements and schedules. [ACCOUNTING]
  • Other duties assigned.
  • Audit work orders for completion and coordinate with third-party ancillary service providers for closure or extension of any items past due.
  • Organization and accuracy of electronic records
  • Follow up on all emergency-based violation notices.
  • Ability to work under pressure, with frequent interruptions and within multiple deadlines. Weekly
  • Rental administration and monitoring. [Real Estate Services]
  • Administration of capital improvement projects. [CAM]
  • Produce covenant violation notices, and other correspondence as needed.
  • Bank statement reconciliation. [ACCOUNTING]
  • Execute site visits for each client.
  • Meet with the Community Association Manager to review focus items.
  • Data input into CINC Systems.
  • Project estimating and bidding. [CAM]
  • Attendance at all company meetings. Quarterly
  • Coordination of general maintenance and repairs. [CAM]
  • Input of maintenance work orders
  • Input of covenant violations to include time sensitive violations and follow up Ongoing
  • Processing of accounts receivable, accounts payable, and general ledger reporting. [ACCOUNTING]
  • Scope of Work preparation. [CAM]
  • On-site inspections of assigned associations (if applicable and as necessary).
