This position will have a set schedule of Monday and Wednesday 9:00am – 6:00pm and 8:30am – 5:30pm the other days with opportunities to hybrid work, but may work varied days/times depending on program needs. Semi-frequent evening and weekend work will be required.

The Foster School has an outstanding opportunity for an inclusive, creative, collaborative Admissions and Academic Coordinator to support the Master of Science in Information Systems (MSIS) program.

MSIS is a self-sustaining graduate degree program geared toward training future business leaders who can bridge the gap between business and technology. The Admissions and Academic Coordinator will report to the MSIS Associate Director – Admissions and Alumni Relations and supports the program’s admissions strategy and academic advising framework. The position will interact regularly with other staff, faculty, prospective students, and matriculated students in a wide range of advising and administrative tasks.
We are searching for a motivated individual who can work in a flexible environment, exercise independent judgment while working collaboratively on a larger team. This position requires strong people skills and knowledge of university procedures, rules, systems, and policies. The person in this position must be able to communicate effectively with prospective students, applicants, and matriculated students with widely varying academic backgrounds, work experiences, and nationalities.

RESPONSIBILITIES:
Admissions
  • The Admissions and Academic Coordinator is first in line to meet with prospective students. This person must have a deep understanding of the programs and be flexible to meet with candidates via drop-in or appointments, Zoom, phone, or email
  • Manage the inflow of application materials and maintain confidential applicant information with a high degree of accuracy. Correspond with applicants regarding materials received
  • Manage the program’s CRM and be responsible for data integrity
  • Track candidates as they move through the evaluation, interview, and decision process. Monitor the waitlist, providing updates to and responding to questions from candidates until they receive final decisions
  • Assist with coordinating and implementing outreach events both locally and internationally
  • Prepare admission decision materials and convey admissions decisions in the Graduate School’s MyGrad Program
  • Present information sessions and application workshops to prospective students
  • Respond to a high volume of inquiries about topics such as program fees, financial aid, curriculum, career services provided, informational events, application process, etc
  • Advise prospective students on the MSIS and Accelerate programs – prerequisites, minimum requirements, curriculum, program fit, and preparation of application materials
  • Manage the prospective student Class Visit program
  • Represent the graduate program at career fairs, recruiting events and meetings
Academic Administration
  • Act as liaison with the UW Graduate School to ensure UW and Foster School policies and procedures are followed
  • Work with career coaches to develop career workshops/programming/resources for students
  • Other duties as assigned.
  • Post tuition in Student DataBase. Contact students regarding unpaid tuition
  • Implement New Student Orientation at the direction of the Assistant Director – Admissions & Alumni Relations
  • Register students for quarterly courses. Communicate with students regarding registration holds
  • Conduct outreach with employers to coordinate site visits and networking events
  • Make Canvas announcements - based on yearly communication schedule
  • Input final grades into internal student list record every quarter. Review grades and notify program Director of any concerns.
  • Assisting in planning and coordinating events such as graduation, study tours both locally and internationally, and other MSIS program events
  • Support students with their transition into a professional graduate program by helping them resolve challenges and connect them to campus resources
  • Advise current students on all aspects of the program to assist them through degree completion, including registration, necessary authorizations, monitoring degree progress, and providing information to Associate Director of any problems or unmet requirement
MINIMUM REQUIREMENTS:
  • Bachelor’s degree in business, social sciences, education, or related field.
  • Three years of experience in an advising/counseling capacity in an educational or nonprofit setting.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS:
  • Demonstrated ability to successfully manage diverse work assignments and priorities that range in duration and time sensitivity to meet deadlines, implement organizational skills and multi-task.
  • Strong interpersonal skills and proven success working in a highly collaborative professional environment.
  • Flexibility and ability to support evening and Saturday program classes, events, and activities
  • Ability to relate positively with culturally diverse populations.
  • Strong organizational skills with attention to detail and initiative.
  • Strong technological savvy and a high level of proficiency with the MS Office Suite.
  • Resourceful and innovative attitude and a desire to use available information to solve problems in a self-directed manner.
  • Excellent communication and presentation skills.
DESIRED:
  • Master’s degree or equivalent combination of education and experience.
  • Experience working in a university or educational setting.
  • Knowledge of CRM software and/or advanced database skills.
  • Admissions, career services, or enrollment management experience.
