The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
The Division Administrator is responsible for the financial reporting of the divisional accounts to the Chair of the Department and the Department Administrator.
Combined, the Divisions consist of nearly 60 faculty members, almost 200 staff, and annual operating budgets totaling of over $45m. The Divisions maintain collaborative relationships with several other divisions and departments, as well as closely with the Herbert Irving Comprehensive Cancer Center.
Responsibilities
Division Leadership and Strategic Planning:
Advise Division Chiefs and other leadership on strategic matters related to program planning, faculty recruitment, and utilization of funding and other resources.
Work closely with Division Chiefs to develop/update comprehensive plan for Division's growth and continued success.
Act as an advocate for the Divisions and their programs in multiple contexts.
With Division Chiefs, champion efforts to promote the Division and its programs.
Oversee all administrative aspects of faculty recruitment, including development of business plans and offer packages.
Finance and Research:
Supervise a financial and grants management personnel.
Take hands-on role in training and developing staff.
Direct all aspects of sponsored research administration in the Divisions, including pre- and post-award support and effort reporting.
Ensure that more than 30 Principal Investigators review their individual research-related expenses, and provide guidance in development of projections.
Oversee all aspects of divisional budgeting and financial projections, including budget development and reconciliation of divisional budget projections with general ledger.
Ensure compliance and accuracy of financial transactions and use of financial systems.
Review/approve financial transactions, including complex procurement transactions.
Administer the divisional physician compensation plan, including review of physician productivity and distribution of productivity income.
Advise on compensation planning.
Oversee faculty compensation transactions to ensure accuracy.
Audit and review physician billing service reports to track income with operational (productivity) data.
Audit, review, and reconcile external sources of revenue, including support from New York Presbyterian Hospital.
Administrative Management:
Supervise administrative support staff and perform annual evaluations.
Ensure faculty members receive appropriate administrative support.
Provide staff training, ensure necessary coverage, and oversee staff development.
Direct all aspects of Human Resources matters within the Divisions, including staff recruitment and onboarding, working closely with departmental HR personnel.
Oversee all academic and research appointments, including university and hospital credentialing.
Oversee reappointment and promotion of personnel.
Oversee clinical operations performed by the Divisions, including more than clinical support personnel who report to the Division Administrator through the Practice Administrator, and nurses and Nurse Practitioners, who report to the Division Administrator through the Nursing Coordinators.
Working closely with the Division Chiefs and other members of Division leadership, to direct all matters related to facilities/space, capital equipment, and procurement.
Allocate space and ensure it is utilized effectively to meet the Divisions' clinical, administrative, and research needs.
Perform additional related responsibilities as needed.
Minimum Qualifications
Bachelor's degree or equivalent in education and experience, plus five-seven years of related experience.
Experience must include at least three years in the areas of budgeting, accounts payable, clinical operation, revenue cycle and research management
Experience managing human resources matters in a comparable organization
Advanced skill level in Excel
Must demonstrate outstanding communication and interpersonal skills to act as an effective representative of the Divisions and the Division Chiefs at the highest organizational levels
Must be able to interact with all levels of faculty and staff, as well as with internal and external constituencies
Must have strong conceptual, financial, analytical, and problem-solving skills in addition to a proven record of financial and administrative success
Must demonstrate strong sense of initiative, ability to work independently, and ability to manage teams
Preferred Qualifications
MBA or MHA strongly preferred
Experience in an academic and/or clinical setting that includes administration of federal grants
Relevant experience managing a large division in an academic medical center, or in a similar environment
Knowledge of university systems
