College of Social Work: Social Work Office of Research and Public Service – Administrative Specialist position
Non-Exempt: MR 3
H ybrid (some remote work) position.
The University of Tennessee Social Work Office of Research Programs (SWORPS), Tennessee Child Support Employment & Parenting Program (TCSEPP) has one opening for an Administrative Specialist position. This position provides administrative support for TCSEPP staff and Tennessee Partnership for Ongoing Parental Support (TPOPS). The TCSEPP/TPOPS team has the mission to help non-custodial parents overcome barriers to employment in order to become stable, obtain employment, pay child support, become self-sufficient, and be an active parent in their child(ren)'s lives.
The Administrative/Data Entry Specialist responsibilities will include but are not limited to:Provide front-line service and support to TCSEPP/TPOPS staff, SWORPS staff, and other visitors in a proficient and productive manner. Provide general office support including, but not limited to, answering phones, greeting visitors, answering office email, maintaining office orderliness and confidentiality, managing internal paperwork, and other duties as required.
The position is located in Knoxville, Tennessee and supports the East, TN program. This is a full-time position with benefits and day-shift hours.

The following job functions include, but not limited to :
Client Data and Technology
  • Maintain client privacy and data security
  • Update child support offices, reentry team & TCSEPP managers with release dates
  • Coordinate with manager and evaluator to provide necessary data from third party software
  • Assist Coordinator staff with case management record keeping and client services
  • Update case management system, state child support system (TCSES) and Excel spreadsheets
  • Provide TCSEPP/TPOPS staff case information and official court dates
  • Apprise coordinators of participant eligibility, i.e. capias, incarceration, etc.
Communication
  • Communicate with clients, evaluators, managers, and coordinator staff through email, meetings
  • Answering phones and greeting clients
  • Participating in conferencing software, such as Zoom; setting up Zoom meetings
  • Sending, composing, and managing email for department
  • Composing and sending letters
Fiscal
  • Assist with preparing fiscal/accounting and travel documents
  • Track participant payments pre-enrollment and post-exit
  • Assist with gift card management & Mailing of gift cards
  • Order office supplies as needed
General Office
  • Other duties as assigned
  • Provide document support using Office 365 products
  • Provide effective written, oral, and digital communication in English
  • Filing, faxing, and copying documents
  • Assist with special projects
Minimum Requirements
EDUCATION:
Applicants must hold a high-school diploma or the equivalent.
Experience
1 to 2 years work experience in an office setting including data entry.
Preferred Experience
Some college credits. Knowledge of HMIS software, specifically ServicePoint, and TCSES. Extensive clerical experience in an office setting and work with social service programs or child support.
WORK SCHEDULE: Monday-Friday
