Job Overview
The Manager, Administration and Sustainability Programs role oversees essential operational functions for
Georgetown’s Office of Sustainability, while serving as an administrator for sustainability engagement programs. The
Manager, Administration and Sustainability Programs is a self-directed leader and team player who takes initiative,
anticipates needs, ensures consistent high-quality products and materials, and adapts to evolving situations.
The Manager, Administration and Sustainability Programs will manage Georgetown systems for the Office of
Sustainability including: owning/updating sustainability office file systems (Box, Google drive); supporting new
employee hiring and onboarding; providing ongoing support to the team with UIS systems and other technologies;
managing the creation and distribution of internal and external outreach and communications materials (social media,
brochures, website, presentations, etc.); monitoring budgets and managing requests for information; managing
vendor contracts, purchases, and invoices; managing student/faculty/staff and external partner events by overseeing
all aspects of event production including booking event space reservations, invitation management, and catering;
coordinating and managing meeting agendas, schedules, and ongoing agenda items for the Office of Sustainability
team with both internal and external partners. The Manager, Administration and Sustainability Programs is also
responsible for all email monitoring of the Office of Sustainability’s central email account and response coordination.
The Manager, Administration and Sustainability Programs is responsible for planning, scheduling, and maintaining the
VP of Sustainability’s calendar, including making all arrangements for day-to-day meetings, events, and travel with
consistency and acute attention to detail. Administrative support to the VP of Sustainability involves scheduling
meetings for all initiatives of the VP’s office, ensuring that all briefing materials for meetings are distributed to
participants in a timely manner, and assisting with preparing VP’s meeting presentations.
The Manager, Administration and Sustainability Programs will also lead Office of Sustainability programs by supporting
full-life cycle program management processes for sustainability initiatives; effectively communicating project/program
details with participants or campus partners; developing marketing and other forms of program related
correspondence; conduct program assessment and benchmarking with other similar programs and managing project
schedules to ensure the efficient evolution of the program overtime.
Work Interactions
This position reports to the Director of Sustainability, Administration and Culture, but provides direct support to the
Vice President of Sustainability. The APM also works closely with the Office of Sustainability Team and other key
administrators of the direct reports to the COO and other Georgetown teams.
The APM has significant contact with all persons who interact with the Office of Sustainability and this position is
critical to the proper functioning of the Office of Sustainability. She or he must gain a firm grasp of the organization,
and of the University more broadly and maintain a strong working relationship with offices throughout the University.
This is a visible position in a start-up office that interacts on a regular basis with internal as well as external
constituencies including faculty, staff, students, alumni, University officials, local, national and international
government officials and VIP dignitaries. As such, the professionalism with which this person performs her or his
duties impacts the impression that faculty, staff, students and visitors have of the Office of Sustainability.
Requirements and Qualifications
This position requires a bachelor’s degree and minimum five to seven years of progressively complex administrative
and customer service experience supporting senior leadership. Excellent written and oral communication skills,
including grammar, spelling and composition are necessary. The candidate must have exceptionally strong
organizational skills and analytical abilities, and must also demonstrate proven interpersonal skills and experience
providing complex administrative support in a high-profile environment with courtesy, professionalism, diplomacy,
efficiency and confidentiality. Must be able to effectively manage and prioritize multiple tasks and work under
pressure.
This position requires proficiency in the use of standard office equipment such as printers, copiers, and scanners as
well as excellent skills with standard office productivity software including Google Suite and Microsoft Office Suite,
including the use of advanced formatting of Word, the ability to set up and use Excel spreadsheets, and to compose
clear and compelling presentations (Powerpoint, GoogleSlides, Canva, Presi, or other Presentation Programs)
The ideal candidate is extremely organized, flexible and creative, and able to work with a variety of personalities and
constituencies to meet the demands of the job. She or he is a proactive self-starter who will also take direction and
feedback from supervisors. This person proactively engages with, learns and communicates with evolving technologies
to enhance the productivity of the Office of Sustainability team. The ideal candidate will be a trusted member of an
essential team.
