Job Description
The Administrative Coordinator supports the identification, cultivation, solicitation, and management of grants from foundation and corporate prospects and government agencies. This work involves a high level of engagement with internal and external constituents, and managing data across multiple platforms, with a focus on taking a leading role in ensuring the accuracy and completion of all data supporting grants at Middlebury.


This position is a full time, benefits eligible, hourly role with a hiring range of $18.65 to $22.80


Core Responsibilities


Manages accuracy, completion, organization, storage, and reporting of data supporting grants at Middlebury across several platforms (InfoEd, Blackbaud, electronic filing systems, etc.).


Produces reports to be used for analysis and internal dissemination of OGSP metrics to Deans, administrators, etc. Manages inventory of standing reports and creates reports for special projects on an ad hoc basis.


Manages the departmental email and responds to general inquiries from the public, students, faculty and staff regarding the functions of OGSP.


Manages the OGSP Web site, creates original content (including articles on funded awards), and liaises with Communications and Advancement on broader strategy.


Assists with forms and records required for research administration and compliance.


Manages OGSP’s research of current and potential corporate, foundation, and government funders.


Supports administrative tasks, which may include preparing Presidential briefings, setting up meetings, and managing logistics for foundation site visits


Requirements


Position Prerequisites:


Position requires a combination of relevant education and experience to meet the responsibilities for this position.


Adapts to various computer information systems and changing technology and is able and willing to train others. Familiarity with Microsoft Office Suite is expected, particularly Word and Excel.


Exercises sound judgment, prioritizes and manages time effectively, and works capably under pressure while exercising creativity, diplomacy, and discretion.


Has strong communication and interpersonal skills, including the ability to interact professionally with a diverse group of faculty, staff, senior administrators, donors, and students.


Maintains confidentiality of sensitive information and materials.


Exhibits outstanding internal and external customer service in a deadline-driven environment.


Participates in training (internal and external) to gain necessary knowledge to better serve the office and fulfill job responsibilities.
