Job Description
Bonaventure Senior Living is looking for an organized and motivated Administrative Assistant to work directly with our Development Director and Interior Designer. An excellent candidate is one with a strong, exacting sense of focus and a consistent standard of excellence. You should be self-motivated and pride yourself in regularly meeting or beating deadlines. We are looking for someone with the ability to anticipate needs and quickly adapt to changing priorities. You should be meticulous, self-reliant and possess high levels of accuracy. Qualified candidates will demonstrate progressive development in office administration and assisting high level, busy Executive Officers.


Position Summary


The Development Assistant is responsible for performing tasks needed to bring cohesiveness to the team through communication and documentation. This individual must be organized and very detail oriented. Must be able to multi-task amidst distractions and be able to start and stop tasks as needed when new duties arise. The Development Assistant works closely with the Director of Development to communicate necessary procedures, tasks and deadlines to ensure the successful completion of development projects.


Duties And Responsibilities (Development)


  • File Management; update and organize all electronic and hard files
  • Assist with Market Analysis data entry and research.
  • Process invoices and reconcile monthly credit card statements to appropriate Project Manager.
  • Meet with Director of Development and Interior Designer daily to review current tasks. This entails updating and maintaining the Director’s agenda and prioritizing duties based on importance and deadlines.
  • Process and distribute incoming mail to the appropriate Team Member or department.
  • Update and maintain weekly Development Agenda and attend each meeting.
  • Housekeeping/organization of Development Department
  • Assist with management of Development Schedules.
  • Field outside calls from front desk, team members’ voicemail and home office development questions.
  • Check-in daily with each Development Team Member and assist with tasks as necessary and assess progress for Director. Tasks include phone calls, preparing for postal delivery, typing documents, setting up file folders, photocopies, scanning documents, binding materials, faxing documents, scheduling and coordinating various meetings and conference calls and processing e-mails. Establish order of priority and due dates for all tasks. Must be prepared to take on new tasks as they arise and prioritize them accordingly.


Duties And Responsibilities (Interior Design)


  • Create manifest, place and track purchase orders for Interiors and Operations. Manage vendors, warehouses and installation companies.
  • Track and receive items for projects that have been shipped to the home office.
  • Order and track samples from multiple vendors.
  • Assist with Interiors Design projects: Selections, specifications, schedules.
  • Assist with multi-day Interior installs. Will involve occasional travel and physical work.
  • General team participation with overall office management and housekeeping.


Qualifications For This Position


  • Great customer service skills
  • Strong troubleshooting and problem solving skills
  • Excellent verbal and written communication skills
  • Must be proficient with Microsoft Word, Excel and PowerPoint
  • 2-year college degree; bachelor’s degree preferred.
  • 2-years successful experience in an administrative and clerical support role with increasing responsibilities
