Job Description
We are looking for a responsible Administrative Analyst to perform a variety of bookkeeping, administrative, and clerical tasks. Duties of this position include providing support to our school administrators, assisting in daily office needs and managing our company’s general administrative activities. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools like Word, Excel, Google Docs. If you have previous experience as a secretary or executive administrative assistant and familiarity within our industry, we’d like to meet you.

Job Summary


As a Administrative Analyst, you will work with the company’s Vice President of Operations team to ensure efficient and accurate financial record-keeping. This is a full-time position Monday through Friday 40 hours a week.


The ideal candidate will also be responsible for providing administrative support, handling office tasks, and maintaining records.

Schedule: Up to full-time with opportunity for flexibility (some core days and hours required)


Responsibilities


  • Assist in the preparation of regularly scheduled reports.
  • Paying bills and taxes on a regular basis.
  • Perform daily bookkeeping transactions and month-end reconciliations in Gravity.
  • Write and distribute email, correspondence memos, letters, faxes and forms.
  • Develop and maintain a filing system.
  • Manage receipts and reconcile expense reports within Fyle.
  • Liaise with school administrative staff to handle requests and queries related to enrollment, billing, and other reporting.
  • Provide general support to visitors.
  • Managing attendance for publicly-funded children to receive payments via Kinderconnect
  • Performing other administrative tasks such as filing, data entry, ordering, etc.


Requirements


  • Integrity and confidentiality.
  • Ability to pick up new technology systems easily.
  • Proven experience as a bookkeeper, administrative assistant or office admin assistant.
  • Strong communication and interpersonal skills.
  • Attention to detail and problem-solving skills.
  • Basic mathematics skills.
  • Proficiency in MS Office (MS Excel and MS Word, in particular).
  • Knowledge of accounting principles, practices, and procedures.
  • High School degree; additional education or qualification as a bookkeeper, administrative assistant, or secretary will be a plus.
  • Ability to work in a fast-paced environment and meet tight deadlines.
  • Strong organizational skills with the ability to multitask.
  • Knowledge of office management systems and procedures.
  • Excellent written and verbal communication skills.
  • Ability to follow processes and work on a specific weekly and monthly cadence with autonomy.
  • At least 2 years of experience in bookkeeping and administrative support.
  • Working knowledge of office equipment, like printers, scanners, and fax machines.
  • Excellent time management skills and the ability to prioritize work.
  • Excellent attention to detail and accuracy.
  • Strong problem-solving and analytical skills.

  • Ability to sit, stand, walk and reach for long periods of time.
  • Ability to lift and/or move up to 50 pounds.
