The role:

The Once Upon a Time Account Services Coordinator is responsible for gathering, managing and distributing assets to the Creative Team, creating and distributing project numbers to appropriate teams, routing/traffic managing client campaign elements to both internal and external parties, managing PO Requests and Invoices with the Account Manager and VP, as well as providing general support for Account Manager and VP.


Key Responsibilities:

  • Detail-oriented, good follow through, able to multi-task, and work well in a fast-paced environment
  • Digital asset management and distribution
  • Track asset count for retainer clients.
  • Track and assist in the PO request and invoicing process.
  • Brief creative changes to creative team
  • Create new job numbers using internal software, setting up job folders and disseminating to appropriate teams.
  • Track creative elements for client approval
  • Assist Account Manager and VP as needed with project management.


Key Requirements:

  • Work well with others and contribute to positive morale and spirit within the team
  • Experience working with Microsoft Office Suite and Google Suite
  • Excellent organisational, verbal, and written communication skills
  • Demonstrate ability to work with all levels of employees and management, and willingness to give assistance to co-workers in other areas. Strong team player.
  • Exceptional time management skills and ability to work independently, under pressure, with tight deadlines
  • Experience and knowledge of Audio/Video formats preferred
  • Familiar with corporate PO systems, billing and invoicing preferred
