Job Description

The Workers’ Compensation Administrator provides clerical and administrative support to the Workers’ Compensation team. The position will provide coverage to the Coordinators/Specialists during their time away from the office. In addition, the Administrator will provide technical workers’ compensation assistance to Harbor Freight Tools (HFT) locations across the United States. This position works closely with our Associates, HFT management, third party administrator, and outside vendors, to ensure that our workers’ compensation claims are being handled in accordance with state and federal laws, along with the Harbor Freight Tools company policies and procedures.

Duties and Responsibilities
  • Provide the Introduction Letter to all injured Associates
  • Handle confidential information with extreme discretion and professionalism
  • Date entry for OSHA recordable claims into Luminos in a timely manner
  • Prepare check payment requests for resignations
  • Work within a team environment to accomplish departmental and company goals
  • Communicate weekly with Matrix and the LOA department, regarding Associates on a workers’ compensation leave of absence
  • Complete wage statement requests, forward to payroll, and follow up for timely response in order to forward the wage information to the adjusters
  • Participates in claim reviews, vendor meetings and other training programs
  • Data entry into the workers’ compensation shared drive for all medical refusals
  • Monitor the HFT New Store Status Report to locate and timely assign medical clinics, forwarding of clinic posters, and required information for such postings
  • Update the Monopolistic spreadsheet with new injuries and medical refusals to assist with proper OSHA recording
  • Review Illness and Injury Reports and workers’ compensation forms for accuracy and completion
  • Monitor the workers’ compensation email inbox, and distribute to and/or attach the information to the proper party/system
  • Communicate with medical clinics and health care providers to ensure proper processing of claims
  • Responsible for electronic filing into the Luminos claim system
  • Provide support to the Workers’ Compensation team, and the Director of Safety, Health, Environmental and Workers’ Compensation
  • Code and forward invoices to proper parties
  • Upon such time a claim becomes litigated or receipt of a subpoena, request and forward the personnel to our defense attorneys
  • Document and attach the medical work status reports into Luminos
  • Investigate workers’ compensation claims by obtaining statements from all parties, and report any red flags or questionable findings to the handling adjusters for further investigation while the covering WC Coordinators

Education (Required)
  • High School Diploma or GED
Skills (Required)
  • Special skills needed: Keyboarding/typing speed
  • Positive, professional demeanor, dependable and self-motivated. Able to work in a fast-paced environment.

  • Specific Systems: Strong Knowledge of Microsoft Office, Excel and Word.
  • Demonstrate basic knowledge of workers’ compensation concepts and practices
  • Proficient in electronic correspondence and file maintenance
Experience (Required)
  • Minimum 3-year experience in Workers’ Compensation

The anticipated range for this position is $20.64 – $30.96 per hour depending on location, knowledge, skills, education and experience. In addition, we offer comprehensive and competitive benefits to Associates (and their families) such as medical, dental, vision, life insurance, short-term and long-term disability. Eligible Associates are able to enroll in our company’s 401k plan. Associates will accrue paid time off up to 236 hours per year (inclusive of PTO, floating holidays, and paid holidays). Paid sick time up to 80 hours per year unless otherwise required by law.
