Job Description

Summary of Work

1. Data Collection and Management:
  • Collect, organize, and maintain accurate records, data, and documentation related to the legislative study.
  • Maintain accuracy and precision while handling sensitive information.
  • Verify and cross-check data for inconsistencies, errors, or discrepancies.
  • Assist in compiling data for reports and presentations as required.
2. Administrative Support
  • Schedule meetings, appointments, and conference calls, ensuring all stakeholders are informed and prepared.
  • Provide comprehensive administrative support to the Commissioner.
3. Communication
  • Handle incoming communications, including phone calls, emails, and mail, and direct inquiries to the appropriate individuals.
  • Draft and proofread correspondence, reports, and other written materials to ensure accuracy and adherence to the Commissioner's directives.
4. Document Management
  • Manage files and documents, ensuring proper version control and confidentiality.
  • Organize and maintain a comprehensive filing system to facilitate easy access to study-related information.
5. Quality Control
  • Collaborate with team members to maintain high standards of accuracy throughout the study.
  • Conduct thorough reviews of documents, reports, and materials to identify and correct any errors or inconsistencies.
6. Research Support
  • Conduct online research and compile data from reliable sources.
  • Assist with gathering relevant information and research materials to aid in the study's objectives.
7. General Office Tasks
  • Perform various administrative duties, such as copying, scanning, faxing, and electronic filing.
8. Other Duties as Assigned
  • Complete other duties reasonably related to the study to ensure the study is completed on time and in line with the Legislature's intent.

Minimum Qualifications

  • Strong time management skills and the ability to meet deadlines.
  • Exceptional attention to detail and accuracy in all work performed.
  • High school diploma or equivalent; additional education or certificates in office administration is a plus.
  • Proven experience as an administrative assistant or in a similar role, demonstrating attention to detail.
  • A proactive and resourceful mindset, capable of problem-solving and adapting to changing requirements.
  • Strong written and verbal communication skills.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Proficient computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational skills and ability to prioritize tasks effectively.

Note: This position is temporary and will support the legislative study for a specific duration. The ideal candidate will be someone who can quickly adapt to the dynamic nature of the study and ensure prices execution of administrative tasks to contribute to its success.
