Job Description
Position Purpose


The Supervisor - Court Specialists supervises and oversees various collection division functions to ensure availability and accuracy of court information processed through the municipal court system. Provides direction and oversight for personnel performing Court Specialist tasks.


Essential Functions


1 Supervises, oversees, and monitors the daily operations involved in municipal court documents, coordination, and proceedings.; assigns work, monitors inspections, tracks and documents personnel time, and maintains updated software; prepares and reviews periodic reports to determine quality of work performed.


2 Coordinates, delegates, and monitors payment plans, judge court ordered extensions, performance evaluation, feedback provision, and data collections for performance measures.


3 Implements plans, schedules, and assignments; determines objectives needing emphasis; recommends or adjusts work priorities, project schedules, resources, and work plans as required.


4 Gives advice, counsel, instruction, and identifies routine training needs for Court Specialists and related staff; provides knowledge and expertise on updated legislation, state laws, local ordinances, court proceedings, evidence gathering, citation management, and other activities; ensures appropriate internal controls are in place and regularly evaluates staff and provides performance feedback.


5 Interacts, engages, and communicates with Judiciary personnel, prosecutors, bailiffs, Police department, and other law enforcement agencies; addresses issues and successfully implements, coordinates and processes procedural changes pertaining to court functions.


6 Participates in staff and personnel management; provides training and professional development for Court Specialist personnel and audits daily work.


7 Performs daily vault audits and reports any discrepancies to management.


8 Performs any and all other work as needed or assigned.


Education


Minimum Qualifications


  • High school diploma or GED.
EXPERIENCE:
  • Records Management
  • Five (5) years of progressively responsible experience in court or legal office administration involving one or more of the following:
  • Resolving complaints
  • Customer Service requiring heavy phone/public contact
  • Analyzing accounts
  • Collections/Cashiering
AND


  • One (1) year of supervisory or lead work responsibilities.
EQUIVALENCIES:


  • A bachelor's degree or (higher) in public administration, business administration, criminal justice or related field plus two (2) years including one (1) year of the stated lead-work/supervisory responsibilities will meet the education and experience requirements.
  • An associate's degree in public administration, business administration, criminal justice or related field plus three (3) years including one (1) year of the stated lead-work/supervisory responsibilities will meet the education and experience requirements.
OTHER REQUIREMENTS:


  • No outstanding citations or warrants
  • Must be able to pass extensive background check
  • Availability for evening shifts, nights/weekends/holidays.
PREFERENCES:


  • Ability to interpret policies and follow established procedures/guidelines.
  • Effective oral/written communication skills
  • MS Office or similar software skills.
  • Spanish/English bilingual skills are a plus.
