Job Description
Viterbo University invites applications for the Student Engagement Coordinator. This position is a full-time, 12-month, administrative position, eligible for all employee benefits. Under the general direction of the Director of Orientation and Engagement , this position is focused on creating meaningful opportunities for students to engage. The SEC is primarily responsible for: a comprehensive and balanced schedule of campus activities for all students through supervising Weekends at VU (WAVU) team, orientation development and support in collaboration with supervisor. coordination of campus-wide initiatives and Viterbo traditions, and administrative and development support to Viterbo student organizations in collaboration with Viterbo Recreation/Leadership and Student Government Association (SGA). Duties and Responsibilities: CAMPUS ACTIVITIES Coordinates and supports a comprehensive and balanced array of social, recreational, and educational activities for all undergraduate students. Coordinates and supports Weekends at VU (WAVU) weekend activities to include activities every Friday and Saturday during the fall and spring semesters. Ensures on-campus activity each weekend during the academic year when classes are in session. Supervises up to five student employees (four programming assistants and one communications specialist) working with WAVU. Leads coordination of initiatives and Viterbo traditions including, but not limited to Welcome Back Bash, Welcome Week, Family Day, Winter Week (formerly Winter Homecoming), Student Recognition Ceremony, and Courtyard Carni in collaboration with colleagues on campus. Reviews all WAVU contracts for speakers, entertainers, etc. Submits all contracts to the appropriate signatories. Coordinates processes with Viterbo colleagues (Events/Scheduling, Business Office, Aramark Food Service) and community partners (local vendors, businesses, non-profits, etc.). STUDENT ORGANIZATIONS Provides administrative and developmental leadership to student organization members and advisors, including but not limited to maintaining current and accurate records of student organizations, club officers and other student leaders. Collaborates with the Student Government Association (SGA) and the SGA Advisor, Vice President of Student Life, in providing funding support to student clubs and organizations. Trains student organization members, officers, and advisors on procedures in collaboration with SGA. Examples include posting policy, food/beverage policy, room reservations, and travel policy. Develop and maintain proactive risk management approach to activities and trips. Maintains and updates the Clubs & Organizations Handbook as necessary. Plans and implements the Student Recognition Ceremony in collaboration with students and colleagues. Coordinates regular communications for student organizations. ORIENTATION SUPPORT Provides professional staff leadership and support, in collaboration with Director for Orientation and Engagement and the First and Second Year Experience Coordinator. Examples include assisting Orientation Leader training, helping with Orientation registration, guiding session presenters/hosts, problem solving and addressing issues. Helps develop and implement various Orientation ideas and recruitment initiatives throughout year (such as summer Student Transition and Registration [STAR] events) in collaboration with Director for Orientation and Engagement and the First and Second Year Experience Coordinator. Examples include Orientation Leader recruitment/interviews (February/March), Spring Orientation Prep (December/January), and Orientation Evaluation (October/January). GENERAL Maintains social media presence on Life at Viterbo University Facebook page, @viterbouniversity Instagram page (in collaboration with the Social Media Specialist in Marketing department), and through utilization of the Viterbo App. In conjunction with supervisor: develops and administers instruments to assess outcomes and to evaluate growth and satisfaction, prepares goals, policies, and departmental budget. Provides campus/department/university support as-needed through short/long-term committees and projects. May supervise student intern if desired. Serve on various University committees as needed and desired, including but not limited to the President's Holiday Dinner planning, Viterbo App Users Group, and Second Year Experience. Other duties as assigned. QUALIFICATIONS: Required: Bachelor's degree and demonstrated success in event coordination/project management. Must have demonstrated excellence in organization/multi-tasking, interpersonal communication, project leadership and collaboration, written/verbal communication, and adaptability/problem-solving skills. Must be authorized to work in the United States. Viterbo University is unable to sponsor or take over the sponsorship of the Employment Visa. Preferred : Master's degree in student affairs, higher education, or a related field. Demonstrated excellence in supervision, campus activities, student organizations, orientation, and/or higher education. Other : Computer/Microsoft Office proficiency and ability to be present for some evening and weekend responsibilities. The employee is expected to meet and perform the physical requirements and to work effectively in an environment which is typical of this position.
