The Opportunity:

Four Seasons Hotel Silicon Valley is currently looking for Sales Coordinator.

Essential function of the job:

  • Coordination of sales appointments for the Sales & Marketing Management.
  • Maintain an inventory of all standard department supplies and printed materials, including but not limited to Catering Corporate and wedding packets, special menu cards and velum.
  • Check voicemail and email message.
  • Periodically required to work on the weekends to assist the special events.
  • Create and management of monthly promotional mailings, newsletters and promotions for guests.
  • Assist with front of house operations including greeting and directing guests, manning hospitality desks, and working with Banquets on ‘quick sets’ or teardowns when needed.
  • Perform other tasks or projects as assigned by hotel management.
  • Take precise and correct message with appropriate follow up.
  • Provide all support functions to the management team in the Sales & Marketing department.
  • Perform administrative duties such as managing account database, email, copying and faxing.
  • Assist with Sales Trip preparation.
  • Prepare meeting planner kits, assist with preparation of fam trips and site inspections.
  • Provide main telephone coverage for the office.
  • Achieve prospecting and business development goals as determined by supervisor.
  • Participate in scheduled departmental and administrative meetings as requested.
  • Create and billing procedures as they relate to group, corporate and individual business.
  • Coordinate and assist with group bookings and events.
  • Respond to inquiries and requests in the absence of the Sales & Marketing Management.
  • Assist with all office sales efforts, such as responding to general inquiries and client requests and coordinate with other departments.
  • Assist with individual reservation requests.

Qualifications and Skills:

  • Previous secretarial, hotel, and/or related experience required.
  • Requires reading, writing and oral proficiency in the English language.
  • Detail oriented, well developed organizational skills and a strategic thinker.
  • Proficient in computer skills (including Delphi, Opera, Windows, Microsoft Word, Excel, PowerPoint, and Teams) necessary to complete correspondence such as proposals, letters and inter-office communications.
  • Work well under pressure, requires multitasking and being a team player.
  • Must provide work authorization document - proof of eligibility to work in the United States of America
