POSITION SUMMARY:
The Accounting Document Control Analyst establishes and manages all standard operating procedures (SOP) of the company related to Accounting.
Duties and Responsibilities:
Prepare a Site Assessment Report for each location following the quarterly visit.
Regularly monitor the level and quality of service being provided by our vendors, including landscapers, parking lot cleaning and maintenance personnel.
Request Landlords and/or their Property Managers to make capital improvements to portion(s) of the Common Area that require restoration, repair or replacement.
Prepare and maintain full and complete vendor lists for each property in a place accessible to others in case of an emergency.
Establish and implement (or maintain) an existing preventive maintenance schedule for all equipment and building systems that are the Owner's responsibility to maintain.
Monitor internal preventive maintenance programs and surveys for all roofs, HVAC equipment and parking lots.
Submit work requests with the Maintenance Department and follow-up to ensure that the work requests are completed.
Prepare annual budgets in Excel for each property and present same to Senior Management for review and approval on or before August 31st of each year.
Obtain bids from contractors for the performance of outside services for each property (including landscaping, parking lot cleaning, maintenance and repair work, capital improvements and tenant improvements), negotiate contracts with such persons and make appropriate recommendations to Senior Management.
Analyze periodically all service contracts to determine if alternative vendors would be more cost-effective and, with Senior Management input, be responsible for the hiring and firing of all vendors.
Work with the Accounts Payable Department to ensure that all invoices are accurate and paid in a timely manner.
Monitor landlord/tenant relationships, resolve subtenant problems and meet periodically with subtenants to review the status of their tenancies.
Regularly update the subtenant surplus property report.
Track and report key property portfolio details, such as contact information, area, location, key lease provisions, expirations and other critical dates.
Issue requests to Landlords and/or their Property Managers for maintenance and repairs including emergency repairs.
Follow up with Landlords and/or their Property Managers to ensure that maintenance requests are completed.
Correspond with landlords, property owners, neighbors, and brokers to maintain strong relationships, resolve issues, and negotiate property matters.
Correspond with local governing agencies regarding City mandated improvements including construction in public right of ways that may negatively affect store sales and operations.
Handle all requests completely, accurately, and within agreed upon timelines while staying in constant communication with all stakeholders.
Regularly update material including reports and tracking sheets.
Proactively seek out projects and keep pressure on deliverables until tasks are met.

Qualifications and Requirements:
Education Requirements:
College Degree and/or minimum of 3 years of experience in the field of commercial real estate.
Qualifications and Preferred Skills:
Basic knowledge of real estate industry and practices.
Strong communication (oral and written) skills.
Time management, organization, and prioritization skills.
Ability to meet deadlines and multi-task.
Ability to follow directions and pay attention to details.
Proficiency with Microsoft Word, Outlook, Excel, and PowerPoint.
Ability to travel.

Compensation: $75,000 - $80,000
