Job Description
Join Egan Company as a Project Associate in our Industrial Controls group. As a Project Associate you'll provide administrative and project support for the Industrial Controls team, including supporting Group Managers, Field Leaders, Project Managers, Engineers, and provide back-up administrative support for other areas in the office when needed.


Responsibilities


The basic responsibilities of the Project Associate include but are not limited to the following:


  • Assist with loading project plans into Plan Grid.
  • Print plans as requested by project managers, engineers and field leaders.
  • Order bid bonds, performance, and payment bonds.
  • Perform additional duties and assignments as requested/needed.
  • Run reports, including job labor and job status reports.
  • Manage Twins, Wild and Vikings ticket tracking and forwarding.
  • Complete pre-qualification reports for contractors.
  • Provide support for project kick-offs, V-Model and close-out.
  • Support field leaders with requests.
  • Compose and edit letters, memos, reports, presentations and procedures.
  • Assist with travel arrangements, when needed.
  • Provide backup for other Project Associates (during vacations, time off requests, etc.).
  • Credit card purchases of materials.
  • Assist in material purchasing and supply chain management.
  • Handle education classes and training programs specific to the Industrial Controls group, which includes but is not limited to; helping setup classes, submitting and tracking registrations for attendees.
  • Provide assistance, when requested, with assembling O&M manuals and IR Scan reports.
  • Company profile/qualification requests - completing the information that is available and requesting any other information from departments that can complete it (Safety, Financial, etc.).
  • Provide assistance with billing; may require working with Accounts Receivable/Billing to ensure all revenue is accurate.
  • Create proposal letters, and panel schedules using Microsoft Word or Google Docs and subcontract agreements as needed.
  • Schedule and coordinate group meetings.
  • Assist in getting RMAs from vendors and assist with material returns.
  • Order certificates of insurance.
  • Assist with managing subcontractor document compliance.
  • Plan and coordinate group events - happy hour planning, food and beverage orders when requested.
  • Manage filing system.
  • Provide administrative and project support to the Industrial Controls group teams by assisting with day-to-day tasks (i.e. meeting minutes, construction drawings, amendments, supply requisitions, RFI’s, submittals, etc.) as directed.

  • Previous contractor/construction industry experience preferred.
  • Proficient computer skills including Microsoft Office and/or Google Suite (Word, Excel and/or Google Docs, Google Sheets).
  • Excellent problem-solving skills and creative mind with an ability to suggest improvements.
  • Strong work ethic, flexible, willingness to learn new things.
  • Excellent time management skills and the ability to prioritize work.
  • Ability to communicate effectively and partner with all levels of internal and external customers.
  • A high degree of resourcefulness.
  • Strong sense of responsibility and attention to detail.
  • Excellent written and verbal communication skills.
