Job Description
Job Title: Program Coordinator
Departments: Calvin University School of Education
Reports To: School of Education Dean/Education Department Chair and Graduate Program Director
Group/Grade:
Status: 0.8 FTE. [35] hours per week during the school year, from August 15 to May 31. [20] hours per week during the summer.
Summary
This position supports the academic dean as well as the undergraduate chairperson and graduate program director in the School of Education. The position performs program administration, student recruitment, office management, event planning and supervisory duties for the School of Education. The position is the primary support for the academic programs—undergraduate, graduate, and others under development, thereby advancing the mission of Calvin University.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
  • Communication. Be responsible for drafting, proofreading and editing correspondence, maintaining a school calendar, named scholarship coordination and communication, participating in and notating school and program team meetings, serving as the point of contact with other departments and schools.
  • Event planning. Organize school public and private events, such as receptions, seminars, colloquia, faculty recruiting visits, guest speakers and other meetings, by assisting with the planning and preparation, handling the logistics, coordinating advertising, making travel and lodging arrangements, arranging facilities and equipment reservations, and arranging food service. Provide administrative and logistical support for student led events associated with the school.
  • Supervision. Select, train, supervise, and evaluate part time student assistants (student employees) who will staff the School of Education office, assisting with the above duties and responsibilities. Arrange employment details for student assistants and course tutors. Assist with coordinating the schedules and office space for course tutors.
  • Hospitality and information. Manage (with the student worker team) hospitality and information functions, including the front desk of the School of Education space, receiving of visitors, answering phone calls, and answering inquiries.
  • Office management. Responsible for the physical needs of the school, including planning school work and classroom space, liaising with facilities personnel with respect to school needs, arranging facilities and equipment reservations, coordinating room schedules, ensuring that office machines are in good working condition, distributing mail, ordering and storing supplies and refreshments, and assuring that the school is stewardly in its use of physical resources.
  • Program administration. Primary support the for the academic programs and program directors of all School of Education academic programs. These include undergraduate, graduate, and related educational offerings under development. Responsibilities include handling correspondence, course scheduling, maintaining course syllabi library, tracking and communicating budget results, expense reimbursement processing and tracking, and as needed participating in administrative, faculty, and subgroup/team meetings.
  • Teamwork: Work collaboratively as need with School of Education staff. Promote a welcoming atmosphere within the office.
  • Program promotion and student recruitment. Assist with promotion of School of Education and its various programs, publish weekly program news and notes, coordinate the school’s efforts in the recruiting of students. Coordinate school input into admissions materials used for student recruitment and ensure development of specific School of Education student recruitment material. Coordinate faculty involvement in these recruiting endeavors as appropriate.
EDUCATION And/or EXPERIENCE
This position requires a Bachelors degree from a four-year college or university; minimum one year of experience; or equivalent combination of education and experience. Knowledge of standard policies and procedures required.
