POSITION PURPOSE
Asian Languages and Literature – Program Coordinator Position

The Department of Asian Languages and Literature currently has an outstanding opportunity for a Program Coordinator. The Program Coordinator reports to the Administrator of the Department and provides complex program support for the Department’s academic, outreach, and diversity initiatives. The Program Coordinator performs a variety of duties both independently and under the general direction of the Chair, Administrator, and faculty Program Coordinators who oversee the curricular aspects of the Department’s programs. The Program Coordinator also assists the Chair and faculty in the areas of website, publicity, communications, and support of the Department’s development efforts. This position requires balancing multiple priorities and complex projects, and assisting with organizing projects or events. Reliability and flexibility to meet variable needs in a fast paced professional work environment are required.

DUTIES AND RESPONSIBILITIES
The specific responsibilities of the Program Coordinator include the following:

Curriculum Management
  • Assist faculty with curriculum proposals for new courses and any course changes.
  • Update and post quarterly course schedules on bulletin boards and Department websites.
  • Act as IAS system evaluation coordinator.
  • Coordinate or order textbooks quarterly and assist faculty as needed.
  • Work with textbook publishers to order desk copies of texts for new instructors or when new editions are published.
  • Prepare special reports related to curriculum and enrollment, as required by the Chair and faculty Program Coordinators.

    Teaching Schedule Development and Maintenance
  • Assist in development of internal department annual “Master Teaching Schedule”.
  • Under the general direction of the Chair and Associate Chair, create and maintain a current projection of course offerings and faculty teaching assignments for the upcoming academic year.
  • Troubleshoot and bring problems to the attention of the Chair, Associate Chair, and faculty Program Coordinators as needed.
  • Submit the teaching schedule and “back to back” room requests to the UW Time Schedule office by the appropriate deadlines.
  • Manage and maintain a quarterly schedule. Duties include: processing faculty requests for changes to classrooms and course schedules and resolving problems as needed by contacting the UW Time Schedule office and working with the Associate Chair.

    Instructional equipment support
  • Maintain, track, and facilitate purchase and procurement of the Department’s computer and related equipment.
  • Identify and gather the Department's surplus inventory.
  • Work with the Facilities Office to coordinate pick up according to State policy.
  • Troubleshoot computer problems for faculty.
  • Work with IT specialists when new equipment or software must be purchased to resolve technology issues.
  • Other issues related to supporting programs in the Department.

    Event Planning and Support
  • Organize special events and departmental events. Offer logistical support to the instructors of Asian Languages and Literature and affiliated committees by scheduling events/lectures, coordinating receptions, ordering catering, applying for all necessary permits, and disseminating event/lecture announcements.
  • Work with faculty to coordinate and promote special events and conferences when requested.
  • Coordinate student and faculty events, such as Department talks, seminars, and meetings as well as special student events, such as orientations and annual convocation.

    Communication, Marketing, and Development Support
  • Manage Department website.
  • Create new content and maintain the “Washin Kai” and “Friends of Sanskrit” websites, working with related faculty or groups as needed.
  • Work with the Arts and Sciences Marketing and Communications team by attending quarterly meetings.
  • Work with Arts and Sciences Marketing and Communications or individually to create, prepare and mail/email invitations.
  • Update and maintain the Department’s alumni records; assist with database searches for donors, and provide weekly reports on the Department's gift activity and draft acknowledgement letters for the chair.
  • Assist with faculty searches.
  • Schedule Zoom or in-person interviews with applicants.
  • Coordinate shredding materials according to UW Records Retention schedules.
  • Maintain faculty peer reviews, annual reports, and other teaching documents in OneDrive.
  • Moderate listservs for Asian Languages and Literature.
  • Cover the front desk duties while the Assistant to the Administrator is away.
  • Perform other duties as assigned.

    MINIMUM REQUIREMENTS
    High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience.

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    ADDITIONAL REQUIREMENTS
  • Strong written and verbal communications skills
  • Strong working knowledge of the Microsoft Office Suite
  • Proficiency in the use of Internet technologies and database systems
  • Basic skills in Adobe Photoshop and InDesign programs; PC capability
  • Experience in Marketing and Communications, specifically representing an organization on social media platforms including Facebook, Twitter, LinkedIn and YouTube
  • Ability to work independently, prioritize administrative tasks, and manage demanding workload
  • Excellent organization skill and attention to detail

    DESIRED QUALIFICATIONS
  • Bachelor’s degree
  • Familiarity with UW curriculum systems
