Job Description

This is not a student position. It is heavy document control and student coordination.


Responsibilities

• Student Oversight (55%)

• Supervise and manage student interns, including hiring, training, and assigning tasks and projects.

• Plan and coordinate program events and activities, such as training sessions, career fairs, and networking events. Ensure the timely and successful completion of program activities, including recruitment, training, and placement of students in internships.

• Develop and maintain time schedules for department staff, project events and office activities.

• Assists students with navigating college processes as appropriate for assigned program; guides students in utilizing the services of the college and outside agencies; provides referral to auxiliary resources.

• Create program policies and processes to facilitate student success.

• Review applications or other program documents to determine acceptance or make decisions pertaining to program.

• Advise students on issues associated with assigned program; identify problems and provides advice.

Community Engagement (25%)

• Develop and maintain positive relationships with community partners, including businesses, nonprofits, and government agencies. Work with community partners to develop and implement workforce development programs that align with program goals and objectives.

• Initiate and maintain contact with key personnel at the university including staff, department heads, alumni, and other influencers.

Work closely with program staff to make sure program activities align with organizational goals and objectives.

• Develops, schedules, and leads training programs for faculty, staff, and managers to promote access to and increased awareness of available student support services and programs.

Reviews and Reporting (15%)

• Monitor program outcomes and provide regular reports to program funders and stakeholders.

• Evaluate the effectiveness of the program and make recommendations for improvements.

• Assist senior staff with project development activities: compiling data, drafting reports, and assisting with special projects. Routinely maintains student data reports, student records and files.

• Draft and review pertinent correspondence, communications, meeting agendas and/or minutes, and other background materials on a daily basis to remain current on project and operation details

• Prepare multi-media presentations and reports utilizing a variety of software applications

• Prepares periodic reports, financial statements and records on program activities, progress, status or other special reports for management or outside agencies. Contribute to reports evaluating operational effectiveness, implementation, and other improvement opportunities. Minimum Requirements:• Bachelor's Degree in business, education, or a related field.

• At least 2 years of experience in program management, workforce development, or a related field. A background with assessment or student affairs program coordination is preferred.

• Ability to use intermediate and advance Microsoft Office techniques, including but not limited to Microsoft Excel Pivot tables, Microsoft PowerPoint presentations, Microsoft Word memo and procedure creation, and Microsoft Outlook.

• Ability to utilize technology/computerized systems to increase efficiency, including Adobe Sign, Dropbox, Zoom, Excel, Word processing, e-mail, internet, internal and external website portals, etc.

• Excellent customer service and communication skills.

• Excellent critical thinking, interpersonal and organizational skills.

• Ability to multi-task and thrive under pressure; maintain a high degree of attention to detail and the ability to prioritize multiple tasks/requests/assignments and manage multiple priorities. Ability to function effectively under tight deadlines and high volume.
