Position Overview:

The Practice Manager is primarily responsible for a variety of office and administrative functions for Skin Synthesis including practice services and support, facilities management, accounts receivable and accounts payable, and human resources. Also responsible for ensuring that all official company records are

maintained, secured and retrievable. Provides administrative support to Jenny Hartley and functions as her administrative and record keeping support on any projects as requested.


The Manager is a part of the decision-making team that helps the business continuously grow and improve. They have complete knowledge of the business’s operational procedures and are responsible for implementing strategies and processes to help the business thrive. Above all, they ensure every patient experience excellent patient care and service. The Manager is to supervise all day-to- day operations, delegates’ responsibility and supervises employees to assure that all operations are performed in accordance with Skin Synthesis standards, policies, and procedures. Manages the daily operations of the practice including personnel, financial, clerical, housekeeping and maintenance and purchasing functions. Plans programs, allocates and assigns duties to employees. Monitors activities and operations to ensure that the practice successfully meets its objectives.


What You’ll Do:

  • Clinic, equipment and/or services.
  • Performs support functions required for clinic, including phone coverage and
  • Ensures that all legal documents necessary to doing business are complete, filed appropriately and maintained.
  • Manages employee benefit plans, processes payroll, and maintains employee
  • Manual
  • Identifies and interacts with vendors and service providers to secure, set-up,
  • Records related to human resources.
  • Manages all staffing needs: hiring, supervision, evaluations, promotions, and
  • Front desk back-up.
  • Schedule, etc.
  • Implements and evaluates systems for improvement as needed.
  • Maintains all official agreements and documents related to Skin Synthesis
  • Recognition, education/training meetings and travel arrangements.
  • Creates and maintains all clinic organizational systems.
  • Terminations
  • Presence, creating content and collaborating with Skin Synthesis team to optimize engagement from patients
  • Organizes, updates, and expands clinic Operational Policy & Procedures
  • Coordinates and manages Jenny Hartley’s calendar, e.g. appts, travel, meeting
  • Leads project management needed for new and existing initiatives and
  • Projects.
  • Coordinates all company events including team meetings, employee
  • Produce external marketing campaigns, managing web and social media
  • Manages the daily operations of the company’s physical space.
  • Maintain and service space/property as necessary.


What You’ll Bring:

  • Work experience should show a progression of increased responsibilities.
  • Minimum 5 years experience in an administrative positions with at least 2 years functioning in medical aesthetic industry in a senior leadership & customer service role.
  • High school required; some college or graduate coursework in healthcare or business preferred.

  • Communication – able to effectively and persuasively express self verbally and in writing, using correct language and grammar in a professional, diplomatic, and tactful manner
  • Customer Service – able to personally provide high level of interactive service to targeted customer base/market, building relationships and acting as internal company advocate
  • Systems & Software – proficient knowledge of EMR, Merchant Services Point of Sale, Microsoft Office software applications


Physical Requirements:

  • Occasionally stand, walk, use hands and fingers, handle or feel, reach with hands and arms, climb or balance, stoop, knee, crouch, or crawl, talk and hear
  • Prolonged periods of sitting at a desk and working on a computer
  • Occasionally lift and/or move up to 20 pounds and occasionally lift/or move up to 30 pounds


Exposure to Hazards:

Exposure to chemicals and disinfectants. Exposure to bodily fluids, latex, as well as a risk to exposure of Infectious Disease.


Skin Synthesis is consistent with state public health orders and policies, requiring employees to be fully vaccinated against COVID-19 and show proof of vaccination where permitted by state law. Medical and religious exemptions from the COVID-19 vaccine may be available to those who qualify. Employees who have approved exemptions must follow additional protocols where required, such as enhanced COVID-19 testing, mandatory vaccine-related education/discussions, and/or other infection prevention requirements in accordance with company policy, CDC or state and local public health government orders.
