Job Description

Note: APA operates on a 37.5-hour work week with one hour lunch breaks each day. APA sets salaries based on several considerations, including years of relevant experience, level of education, and previous staff and/or governance experience at APA.

The Philanthropy Coordinator will manage APF’s donor database, the Raiser’s Edge, and general donor communication pipeline. Maintain integrity of APF’s donor database and donor files; research and analyze donor data to determine trends in giving. Works with the Director to make recommendations on which donors should receive special attention; conduct data analysis on trends and patterns of APF’s donors. Work with Finance to process all accounts receivable and enter information accurately into Raiser's Edge.

EDUCATION AND EXPERIENCE REQUIRED:

  • Excellent written and verbal communication and diplomatic skills to deal with donors, prospective donors, and others.
  • Bachelor’s degree required.
  • At least 4 years of experience in non-profit development office, or similar experiences with database management.

COMPUTER SKILLS:

  • Advanced MS Office
  • Advanced skills in database software

RESPONSIBILITIES:

  • Prepare and run standard reports, as needed for development team and advancement committee
  • Track APF donations
  • Provide donor research to help senior development staff identify prospects for cultivation.
  • Work closely with APF’s accountant to reconcile financial record keeping.
  • Maintain integrity of APF’s donor database and donor files according to current policies and procedures; recommend revisions or additions as needed.
  • Coordinate donor cultivation and stewardship. Coordinate all donor correspondence, including acknowledging donors in a timely fashion.
  • Analyze giving trends, make recommendations to the Director on which donors should receive special attention.
  • Track annual and campaign fundraising and report on progress to goals.
  • Support cultivation activities and donor events in conjunction with the Communications department, help to coordinate logistics on APF’s special events.
  • Assist in writing materials for donor outreach.
  • Use database to segment mailing lists for APF’s annual giving campaigns, events, convention and planned giving efforts.
  • Manage APF’s donor database.
  • Research and analyze donor data to determine trends in giving.
  • Process contribution checks and enter information accurately into Raiser’s Edge
  • Support all donor cultivation activities.
  • Log and track pledges, pledge receivables and sending reminders to donors whose pledges are past due. Support senior staff travel, including preparing itineraries, booking travel, providing research on donors.
  • Input interactions accurately into the database in order to track progress of campaigns.
  • Use RE to opens proposals for major and planned giving, tracks donor activity using established protocols
  • Process all accounts receivable

Other Duties as Assigned:

  • Assists in the preparation of agendas and take minutes for committees, staff meetings and conference calls; handle logistics for all Board of Trustee meetings and other governance activities as assigned.
